Job Summary
The Workflow Automation Specialist will play a key role in optimizing business processes by reviewing, updating, and automating the company's Standard Operating Procedures (SOPs). This role focuses on identifying inefficiencies, recommending improvements, and implementing automation solutions using tools like Zapier and APIs to streamline workflows across departments. The ideal candidate has strong technical skills, a deep understanding of business processes, experience with workflow automation platforms, and the ability to work with APIs for system integrations.
Key Responsibilities:
SOP Review & Optimization
- Conduct thorough reviews of existing Standard Operating Procedures (SOPs) across all departments.
- Identify opportunities to improve efficiency, accuracy, and compliance.
- Collaborate with department heads to understand current workflows and make recommendations for improvement.
Workflow Automation:
- Design, implement, and maintain automated workflows using platforms like Zapier, Integromat, Microsoft Power Automate, or other similar tools.
Develop and manage API integrations between various software systems (CRM, ERP, email, task management, etc.) to ensure seamless data flow and minimize manual tasks.
- Monitor automated workflows and API connections to ensure they run smoothly and troubleshoot any integration issues.
Excel Macros and Advanced Data Handling:
- Create and maintain Excel macros to automate data manipulation and reporting tasks.
- Use advanced Excel functions for data analysis and process improvement.
API Integration & Automation:
- Develop, test, and maintain integrations using RESTful APIs, ensuring proper data synchronization between internal and external systems.
- Manage API requests, handle authentication protocols (OAuth, API keys), and troubleshoot connectivity issues.
Training & Documentation:
- Develop and maintain documentation for all automated processes, API integrations, and updated SOPs.
- Provide training and support to team members on new automated workflows and processes.
Continuous Improvement:
- Stay up-to-date with the latest workflow automation tools, APIs, and best practices.
- Act as a key resource for continuous process improvement initiatives, helping to implement Lean or Six Sigma principles when applicable.
Required Skills and Qualifications:
- Proven experience in workflow automation using Zapier or similar platforms (Integromat, Power Automate, etc.).
- Experience with designing and maintaining API-based integrations between different business systems.
- Strong experience in reviewing and optimizing Standard Operating Procedures (SOPs).
- Advanced knowledge of Excel, including macros, VBA scripting, and complex formulas.
- Excellent analytical and problem-solving skills.
- Ability to manage multiple projects and priorities simultaneously.
- Strong communication skills with the ability to work across departments.
- Experience with the integration of CRM, ERP, and other business software using API-based approaches is a plus.
- Knowledge of Lean or Six Sigma methodologies is a plus.
Education and Experience:
- Bachelor's degree in Business, Information Technology, or a related field.
- 3+ years of experience in workflow automation, business process optimization, API integration, or a similar role.
