I. Supervise General Warehouse Activities- Inspect loading and unloading operations to make sure they follow warehouse and shipping specifications and to ensure proper use of warehouse space.
Reads delivery notices, orders, invoices, and other documents to manage priorities and ensure that the correct warehouse methods are used and ensure records are accurately stored in the database.- Meets warehouse operational standards by contributing warehouse information to strategic plans and reviews; implementing productivity, quality, and customer-service standards; resolving problems; identifying warehouse system improvements.
Meets warehouse financial standards by monitoring expenditures; identifying variances; implementing corrective actions.
- Maintains safety, cleanliness and orderliness of storage area by organizing floor space; adhering to storage design principles; recommending improvements.
Keeps equipment operating by enforcing operating instructions; troubleshooting breakdowns; requiring preventive maintenance; calling for repairs.- Receiving of incoming local and imported items, report damaged or missing items immediately to Import or Procurement. Ensures that actual quantity matches with packing list.
Secure necessary documents for releasing of inventory items
- Responsible for dispatching and timely delivery of orders to clients
Daily manpower availability report- Coordinates with Operations Supervisor regarding the repairs of delivery vans and maintain a record of truck ban in all cities and municipalities of delivery coverage.
Ensures that the pre-approved fuel allocations of delivery van, service van, service car and motorcycles are followed strictly. Ensures that additional fuel request strictly follows company guidelines
- Act as key custodian for Warehouse fleet. Ensures that only authorized personnel are allowed to drive Warehouse Fleet.
Conduct visual inspection of Warehouse Fleet and investigate for any dents, scratches or damage.- Ensures road worthiness of Warehouse Fleet to avoid unnecessary fees and penalties
Process for approval and for release the necessary lubricants requested by Operations Department for in house fleet maintenance.
- Process the release and delivery of Oil samples to appointed third party laboratory.
- II. Inventory Management- input, retrieve and analyze data; maintains inventory controls by collecting stock location orders, printing request, recording amounts of materials or items received or distributed; conduct regular inventory reconciliation to ensure adequate supplies to meet the company's operations goals; report to management on damaged goods and any discrepancies with inventory; assist in counting of physical inventory.
Responsible in monitoring stock on hand to cover all existing orders
- Establish stock levels that are supportive of demand before critical days level of inventory
Creates regular analysis on the movement of items to support Stock and demand- Conducts audit on inventory transactions to maintain high accuracy of inventory reliability
Regularly schedules and conduct cycle count to measure and maintain inventory dependability
- Conduct monthly ending inventory report and notify sales and engineering personnel of end of month cut off/ freeze date.
Recommends stock replenishment for all brands; Lubricants, Imported Greenology Products and Consumables- Performs analysis to know which items needs focus and suggest items for phase out.
Monitors stock on hand versus orders to lessen unserved and versus demand to minimize overstock.
- Responsible in sending daily, weekly, monthly, and yearly inventory report
Create Increase and Decrease of demand analysis on a monthly basis- Responsible in monitoring open for serve purchase order (served and unserved)
Maintain real time stock records at all times
- Ensures that any discrepancies/ losses in Lubricants, Imported Greenology items and Consumables are investigated and reported immediately to management.
Responsible for all items stored in Company Warehouses- Performs other tasks as may be required by management from time to time
- III. Supervise Warehouse Staff
Oversees and supervises warehouse employees to make sure all items are prepared and received on time while complying with company policy.- Train and orientation of new staff.
