The Tenancy Administrator is responsible for creating, maintaining and updating the Client's rent review, lease renewal and routine inspection registers and updating the rent trust software of these actions. The Tenancy Administrator other key function is to forward rent increase notifications to the Client's owners and tenants.

On the 15th of each month upload and create the registers of the Clients rent review, lease renewal and routine inspections that are due for the following month and advise the Clients Property Managers that the tasks are ready to be actioned by them.
  • Rent reviews

-Maintain and update Client rent review register.

-Update Client's rent trust software of rents to be increased and remain the same.

-Receive Client Property Manager advice to increase rent or rent to stay the same.

-Send increase and rent stay the same notifications to Clients owners and tenants.

-Update Client rent trust software of increase, next rent review status.

-Prepare increase or rent stay the same notifications to Client owners and tenants.

-Maintain Client's Property Manager rent review performance.
  • Lease renewal:

-Maintain and update Client lease renewal register Advise Client Property Manager of required lease renewal actions.

-Maintain record of Client's Property Manager lease renewal performance.
  • Routine Inspections:

-Maintain Routine Inspection Register.

-Prepare inspection run for Client's Property Manager.

-Send notification of inspection to tenant including reminder 24 hours prior to inspection.

-Send completed report to Client owner and thank you letter to tenant following the inspection.

-Update Client rent trust software as to date of next inspection.
  • Essential Skills: Methodical

-High level of phone communication skills.

-Excellent record keeping communication skills.

-High level administration skills including Microsoft word, excel and outlook Attention to detail.

-Accurate recording of conversations and instructions.

-Accurate reporting of activities completed.

-Ability to follow process.
