Job Description:

As a SaaS - User Guide Author, you will create clear and concise user manuals, online help guides, and other documentation for Company's products. You'll collaborate with product managers, developers, and customer support teams to ensure all materials are aligned with product functionality and user needs.

Job Overview:
Employment Type: Full-time
Shift: Day Shift, Mon to Fri, 7 AM - 4 PM, Weekends Off
Work Setup:
Hybrid(Cebu, Pampanga or Makati City)

Your Daily Tasks:

Create and Maintain Documentation:

  • Write, update, and maintain user guides, manuals, and online help documentation for Company's products.
  • Develop quick start guides, FAQs, and instructional content for new and existing features.

Collaboration:

  • Work closely with product managers, developers, trainers, and customer support teams to gather information and understand the functionality and requirements of the products.
  • Participate in product design and development meetings to stay informed about upcoming features and changes.

Content Quality:

  • Ensure all documentation is accurate, clear, and concise, adhering to company standards and guidelines. Provide suggestions for enhancing and updating the standards and guidelines according to best practices on SaaS platforms.
  • Review and edit documentation created by other team members to ensure consistency and quality. Ensure the content is user-focused, rather than overly technical, in the final guides.
  • Incorporate feedback from users, trainers, customer support, and other stakeholders to continuously improve the documentation.

User Experience:

  • Develop a deep understanding of the user experience to create documentation that is easy to use and understand.
  • Create and maintain a consistent voice and tone across all documentation.

Tools and Technology:

  • Utilize documentation tools and software to create, manage, and publish content.
  • Stay current with industry trends and best practices in technical writing and documentation.


Requirements

The Qualifications We Seek:

Experience:

  • Proven experience of at least 3 to 5 years in high-quality user guide and system documentation for application software.

Writing and Editing Skills:

  • Clarity and Conciseness: Ability to convey complex information in a clear, concise, and straightforward manner.
  • Grammar and Syntax: Strong command of grammar, punctuation, and syntax to produce polished and professional documents.
  • Proofreading: Attention to detail to identify and correct errors in documentation.

Technical Understanding:

  • Product Knowledge: In-depth understanding of the product or software being documented to accurately explain its features and functions. Ability to engage with technical team members to gather the required information.
  • Technical Literacy: Familiarity with technical concepts and terminology to effectively communicate with developers and other technical staff.
  • Technical Communication: Strong understanding of technical concepts and the ability to explain them in simple terms.
  • Tool Proficiency: Skilled in using documentation tools and software, such as Microsoft Word, Confluence, and others.

User-Centric Approach:

  • Audience Awareness: Ability to understand the needs and knowledge level of the target audience to create relevant and accessible documentation.
  • Usability Focus: Ensure that documentation enhances the user experience by being easy to navigate and understand.

Design and Visualization:

  • Visual Design: Basic understanding of design principles to create visually appealing and easy-to-read documentation. Experience with writing wikis or using guides in Confluence is required.
  • Use of Visual Aids: Ability to incorporate diagrams, screenshots, and other visual aids to enhance understanding.

Collaboration and Communication:

  • Team Collaboration: Work effectively with cross-functional teams, including developers, product managers, trainers, and customer support, to gather information and feedback.
  • Effective Communication: Clearly articulate questions and requirements to obtain necessary information from subject matter experts.
  • Interpersonal Skills: Ability to engage in effective communication, interaction, and relationship-building with others in a professional setting.

Organizational Skills:

  • Project Management: Ability to manage multiple projects and deadlines simultaneously, ensuring timely delivery of high-quality documentation.
  • Detail-Oriented: Meticulous attention to detail to ensure accuracy and consistency in documentation.

Analytical and Problem-Solving Skills:

  • Critical Thinking: Ability to analyze complex information and break it down into understandable components.
  • Problem-Solving: Identify and address gaps or issues in existing documentation and propose improvements.

Adaptability and Continuous Learning:

  • Adaptability: Ability to quickly learn and adapt to new tools, technologies, and changes in the product.
  • Continuous Learning: Stay updated with industry trends, best practices in technical writing, and advancements in documentation tools and techniques.

Research Skills:

  • Information Gathering: Efficiently gather relevant information from various sources, including interviews with subject matter experts and reviewing technical specifications.
  • Resourcefulness: Ability to find solutions and information independently when necessary.

Nice to Have:

  • Understanding of Education Management or Student Management Platforms
  • Understanding of the Australian Tertiary Education Qualification Framework ()
  • Previous experience writing user guides and system documentation for application software
  • Knowledge of tools and technologies (including AI) to assist in creating the best user guides and system documentation
  • Knowledge and skills in setting up user guides in online learning management systems
  • Previous experience with SaaS companies in writing user guides and system documentation
