JOB SUMMARY: _Primarily performs secretarial functions to facilitate the daily work requirements of the Department. Performs duties in a conscientious, pleasant, and professional manner and ensures efficient office operations._
- REPORTING ACCOUNTABILITY: Operations Manager
- DUTIES AND RESPONSIBILITIES:
- Types/records reports, letters, memoranda, and other office correspondences, including confidential matters. Maintains an appropriate and accurate file for easy access, retrieval, and review of records.
- Maintains an adequate stock of necessary supplies for the different sections of the Department.
- Follows up on Purchase Requisitions and Job Orders and keeps records of such.
- Schedules and arranges appointments for the Operations department.
- Types, secures, faxes, and distributes copies of notices regarding Operations Department maintenance and projects.
- Receives and attends to office callers and visitors, answers, and records telephone messages.
- Performs inventory of stocks, tools, and equipment.
- Strictly complies with the Office's Employee rules and regulations and is duty-bound to report any violation thereof by co-Employees to his/her superior.
- Conducts research for suppliers that may be recommended to the Purchasing Department to further expand options for the purchase of equipment, etc.
- Protects and safeguards confidential information and documents such as:
a. Documents pertaining to disciplinary concerns of erring Employees.
b. Budget reports.
c. Performance appraisal forms.
d. Leave forms, medical certificates, and sickness notification forms.
e. Other documents containing sensitive data and information.
- Participates in all activities, programs, and projects of the Department.
- Attends Department meetings and other meetings called by Management.
- Establishes and maintains effective relationships with co-Employees with the aim of achieving teamwork.
- Observes and strictly complies with company policies, rules, and regulations, as well as Employees rules and regulations.
- Performs other functions as may be delegated in the future.

WORK RELATIONSHIPS:
INTERNAL: Interacts with all levels of personnel at the Company for basic coordination.
EXTERNAL:
HOURS OF WORK: 8:00 am to 5:00 pm. Required to allot as much time deemed necessary to accomplish expressed and predetermined workloads.
REST DAY: Sundays or maybe subject to change if workload requires change of rest day.

- Meets given timelines and required output in order of priority.
- Ensures that all documents, especially confidential files, are secured and systematically filed.
- Completes daily routine functions before retiring for the day.
