We are looking for a dedicated and detail-oriented
Project Development Executive Assistant to provide high-level administrative support. This role is crucial for ensuring the efficient operation of the executive's daily schedule and supporting the development and execution of key projects.
The ideal candidate will have a strong background in administrative support, excellent organizational skills, and the ability to handle a variety of tasks with professionalism and discretion.
- Calendar and Schedule Management:
Manage and organize the Project Development Executive's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.- Prioritize and resolve scheduling conflicts, ensuring the executive's time is used effectively.
- Documentation and Correspondence:
Draft, prepare, and distribute correspondence, reports, and presentations for the executive team.- Maintain and organize electronic and physical files, ensuring accurate and up-to-date documentation of all records.
- Meeting and Event Coordination:
Coordinate all logistics for meetings and events, including booking rooms, arranging catering, and setting up audiovisual equipment.- Prepare meeting agendas, take minutes, and follow up on action items to ensure timely execution.
Serve as the primary point of contact for client inquiries, providing prompt and professional responses.- Manage client communication, ensuring that all inquiries and requests are handled efficiently and accurately.
Provide support to clients post-sale, addressing any issues or additional needs they may have.- Assist with client follow-ups and ensure continued satisfaction with our services.
Education:
High school diploma or equivalent required; Associate's degree or higher in Business Administration or a related field preferred.Experience:
Minimum of 3 years of experience in an administrative support role, preferably in a project development or executive support capacity. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.- Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines.
Excellent written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and manage sensitive information.
Professional demeanor and proactive approach to problem-solving.
Ability to work independently as well as collaboratively in a team environment.- Flexibility to adapt to changing priorities and handle urgent tasks as needed.
