  • Summary:

The Trucking Coordinator - Customer Support plays a vital role in coordinating trucking operations, ensuring efficient transportation of goods and containers. The role involves pre-advising shipping lines, coordinating with port authorities, coordinating delivery status, and ensuring the timely return of empty containers. The Trucking Coordinator also handles communication with the Client/Consignee/Importers and Trucking Department and escalates any delays and issues to the immediate head of the department.
  • Objective:

The objective of the Trucking Coordinator is to ensure smooth trucking operations, optimize transportation logistics, and facilitate timely delivery and return of containers, while maintaining effective communication and coordination with internal teams, shipping lines, port authorities, client/consignees/importers.
  • Job Description:
Pre-Advising Shipping Lines: Coordinate with shipping lines to provide advance notice of empty container returns, ensuring efficient container return.
  • Coordination with ICTSI and ATI: Liaise with ICTSI and ATI through email to address truckers delays inside the port, coordinate container movements, and ensure smooth flow of trucking operations.
Documents Preparation: Coordinates with trucking dispatchers and Prepares necessary shipping documents, including bills of lading, delivery orders, customs clearance documents, and any other required paperwork. Ensure accurate and timely preparation of documents for each shipment before delivery including pre-dawn deliveries.
Tabs Booking Schedule: Coordinates with trucking dispatchers and Booking of TABS Slot.TABS Penalty Refund: Manage the process of refunding TABS penalties incurred due to traffic coordination issues, following the prescribed guidelines and procedures.
  • Delivery Status Coordination: Monitor and coordinate the delivery status of shipments, ensuring timely pick-up and delivery in accordance with customer requirements and service level agreements.
Return of Empty Containers: Coordinate the return of empty containers to shipping lines, ensuring compliance with designated return locations, documentation requirements, and deadlines. Handle related communication via email.
Escalation of Issues: Identify and escalate foreseen issues and encountered challenges promptly to the immediate head of the department for resolution and timely decision-making. Prepares History with collaboration of trucking dispatchers.

  • Accountability and Responsibility:
Ensure accurate and timely and persistent pre-advising of shipping lines regarding empty container returns.
  • Maintain effective communication with ICTSI, ATI, and other relevant parties to address trucking delays and resolve operational issues.
Facilitate TABS penalty refund process by adhering to guidelines and ensuring proper documentation.
  • Monitor and coordinate delivery status to meet customer expectations and optimize efficiency.
Coordinate the return of empty containers to shipping lines, adhering to protocols and timelines.
  • Escalate potential issues and challenges to the immediate head of the department for appropriate action.
Provides history and collates and prepares relatable documentation justifying non-monetary liability of 2C Crystal Trucking Services to port, shipping lines and/or clients to related escalated issues.
  • As a Trucking Coordinator - Customer Support - one of your responsibilities will be the preparation of various histories related to shipment delivery, port delays, and the return of empty containers. These histories are crucial for documenting and resolving issues with storage, demurrage, and detention. Here are some specific histories you will be responsible for:
Shipment Delivery History
  • Maintain a record of all delivered shipments to consignees.
Document the date, time, and location of each delivery.
  • Note any special instructions or requirements from the consignee.
Keep track of any delivery-related issues or discrepancies.
  • Port Delay History:
Monitor and track any delays experienced by truckers inside the port.
  • Document the reasons for the delays, such as congestion, customs inspections, or documentation issues.
Maintain a log of the duration of each delay and its impact on the delivery schedule.
  • Communicate the delays to relevant parties, such as the consignee, shipping lines, and internal stakeholders.
Storage Incurred History:
  • Keep a record of any storage charges incurred due to delays or other circumstances.
Document the dates and durations of storage for each shipment.
  • Include supporting documentation, such as storage receipts or invoices.
Use this history to track and resolve any disputes regarding storage charges.
  • Empty Container Return History
Record the return of empty containers to shipping lines.
  • Document the date, time, and location of each container return.
Keep track of any issues encountered during the return process, such as non-response of shipping lines during pre-advise, missing documents or any container damages.
  • Use this history to provide evidence and request waivers for demurrage or detention charges.
Escalation and Reporting:
  • Escalate any foreseen or encountered issues to the immediate head of the department.
Provide timely and accurate reports on delivery status, delays, and container returns.
  • Highlight any recurring issues or trends that require attention or process improvement.
By maintaining thorough and accurate histories, you contribute to efficient operations, effective communication, and the resolution of any disputes or challenges that may arise in the trucking and delivery process.
  • QUALIFICATIONS:

Qualifications and skills often sought for this role:


  • Education and Experience:
  • High school diploma or equivalent (required).
Relevant vocational or technical training in logistics, transportation, or a related field (preferred).
  • Previous experience in trucking operations, logistics coordination, or related roles (preferred).

  • Knowledge of Trucking and Logistics:
  • Familiarity with trucking operations, freight transportation, and logistics processes.
Understanding of shipping terms, documentation, and regulations.
  • Knowledge of containerized cargo handling, trucking routes, and related industry practices.

  • Communication Skills:
  • Excellent verbal and written communication skills.
Ability to effectively communicate with truckers, shipping lines, consignees, and other stakeholders.
  • Strong interpersonal skills to build and maintain relationships with internal and external parties.

  • Organizational and Time Management Skills:
  • Ability to prioritize tasks and manage multiple shipments and deadlines.
Detail-oriented with a focus on accuracy and attention to detail.
  • Effective time management skills to ensure timely coordination and delivery of shipments.

  • Strong problem-solving skills to address issues related to trucking delays, port congestion, or other logistics challenges.

  • Computer Literacy:
  • Proficiency in using computer systems and logistics software.

Job Type: Full-time

Pay: Php18,000.00 - Php19,000.00 per month
