The Admin Assistant - Travel Desk plays a pivotal role in efficiently managing travel arrangements for executives, ensuring a seamless and personalized travel experience while maximizing benefits and optimizing costs. This position involves comprehensive travel planning, coordination, expense management, risk assessment, and communication with stakeholders to facilitate successful travel outcomes.
Efficiently coordinate and plan all aspects of executive travel, including flights, accommodations, and transportation, while adhering to budgetary constraints.
- Customize travel itineraries based on executive preferences, ensuring a seamless and tailored experience.
Strategically redeem loyalty program points and rewards to secure flight upgrades, hotel stays, and other travel benefits, maximizing value for executives.- Identify opportunities to optimize travel bookings by leveraging credit card perks such as lounge access and priority boarding.
Tailor travel itineraries to accommodate executive preferences, dietary restrictions, and special requests, ensuring a personalized experience.
- Coordinate with airlines, hotels, and restaurants to arrange special accommodations and meal options based on executive requirements.
Monitor and track points redemption activities for accurate reporting of travel expenses and budget allocation.- Assess travel insurance needs and coordinate the purchase of policies to provide comprehensive coverage for executives.
Establish protocols for emergency assistance and maintain communication with assistance providers to ensure timely support during travel disruptions.
- Educate executives on travel policy adherence, loyalty program rules, and credit card benefits to promote compliance and maximize value.
Evaluate travel programs to identify areas for enhancement, implementing initiatives to improve ROI and satisfaction.- Collaborate with stakeholders to review and update travel policies and procedures in alignment with industry trends and best practices.
Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred.- Minimum of 2-3 years of experience in travel management, executive assistance, or related roles.
Experience with corporate travel booking systems and tools.
- Familiarity with loyalty programs, points redemption strategies, and travel industry trends.
Proficiency in travel management software and booking platforms.- Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
- Attention to detail and accuracy in data management.
Knowledge of travel insurance policies and emergency protocols.- Ability to work under pressure and adapt to changing travel plans.
