JOB SUMMARY:The Technical Assistant to the VPAA ensures smooth day to day operations by providing timely and efficient technical support.
- Duties and functions of the Technical Assistant to the VPAA:
Provide the Vice President for Academic Affairs and the chairs of standing and ad hoc committees on academic matters with relevant, complete, and appropriately processed information necessary for presiding over the committee meetings
- Maintain a running record of committee tasks and concerns.
Table topics to be taken up by the committees.- Collate, synthesize, and research information for worksheets and briefing materials used in committee meetings.
Write or prepare the worksheets and briefing materials used in committee meetings.
- Write the minutes of committee meetings and other reports required of the committees, e.g., documentation reports of focus group discussions, status reports, and updates.
Write the terminal reports of the ad hoc committees.- Coordinate with committee members and their staffs over organizational matters.
Liaise with other general administration offices and the academic units on matters arising from committee discussions.
- Maintain the files of the committees.
Perform other duties and responsibilities that may be assigned by the supervisor.
- Qualifications for the Position of Technical Assistant to the VPAA:
Bachelor's degree with MA units combined with technical writing and research experience- Knowledge in basic finance, accounting, and budgeting
Proficient in computer applications (MS Office, Adobe Photoshop, etc.)
- Excellent oral and written communication skills, strong organizational and interpersonal skills
Efficient time management skills and exceptional follow-up skills.- Pleasant disposition, and must be able to work with minimum supervision.
