Job Description: Supply and Procurement Officer / Admin Assistant
Position Overview:
Seeking a detail-oriented and highly organized Supply and Procurement Staff and Admin Assistant member to oversee the entire procurement process, including inventory and stock management, for our business operations.
The candidate will be responsible for overseeing the procurement process from start to finish, including the initiation of purchase requests, the vetting of suppliers, the management of purchase orders, the inspection of received goods, and the maintenance of all related documentation.
Key Responsibilities:
- Comprehensive Procurement Management: Handle the entire procurement cycle, from the creation of purchase requests based on inventory needs to the final approval and processing of invoices.
Supplier Relationship Management: Negotiate with suppliers to secure competitive pricing and maintain strong relationships to ensure reliable supply chains.- Inventory and Stock Control: Utilize inventory management systems to monitor stock levels, forecast supply needs, and initiate procurement to prevent stockouts or excess inventory. Conduct regular stock takes and reconcile inventory records.
Documentation and Compliance: Maintain accurate records of all procurement activities, including purchase orders, delivery receipts, invoices, and supplier contracts.
- Quality Assurance and Inspection: Oversee the inspection of all received goods for quality and quantity verification against purchase orders and specifications.
Requirements:
- Has experience in supply chain and inventory management, preferably in the hospitality industry.
Demonstrated ability in overseeing the full procurement process, from sourcing to payment, including effective inventory control strategies.- Proficient in negotiation, with a proven record of securing advantageous terms.
Excellent organizational skills, capable of managing multiple projects simultaneously with a keen eye for detail.
- Profound knowledge of procurement and inventory management software systems.
Strong analytical abilities for strategic planning, assessment, and optimization of procurement and inventory practices.- Exceptional communication and interpersonal skills for effective cross-departmental collaboration.
Bachelor's degree in Business Administration, Supply Chain Management, or a related field is highly preferred.
