Job Description

This position will play a fundamental role in the overall maintenance and presentation of the office environment, creating and delivering exceptional experiences and ensuring that all customers and visitors are assisted accordingly in a warm, professional and friendly manner. This role will assist and support the Atlassian Workplace Experience team to ensure that they deliver the very best service and services at all times and assist in the management of the workplace accordingly.

Responsinbilities

  • Facilities
    • Responsible for vendor management and administrative tasks for the facilities activities.
    • Responsible for arranging all repair and maintenance activities.
    • Perform inspections and maintain facilities records.
    • Support site work ticket queue.
    • Support Health, Safety, Security, and Environmental activities.
    • Support move activity at the site(s).
    • Support team with monthly reports.
Guest Services

  • Support concierge activities - including oranisation of in office gatherings.
  • Manage the local Food & Beverage vendor.
  • Support Front of House desk and customer service activities.
  • Responsible badging process and associated technology.
  • Participate in desk coverage.

Communications

  • Communicate with team and client frequently and effectively.
  • Be prepared to communicate with all levels of management within the business (C-Suite level site).
  • Emails alerting Atlassians of site facilities activities.
  • Create and maintain blogs.
  • Create and maintain site playbook and web pages.
  • Update work tickets.
  • Monitor and update site specific and global chat rooms.

Finance

  • Responsible for spending activity.
  • Manage backup and paperwork for spend.
  • Actively participate in site budget process.
  • Actively seek and document cost savings opportunities.

Other

  • Ensure vendor insurances are in place and meet legal requirements.
  • participate in projects as required.
  • Understand the evolving culture of Atlassian and the local office flare.
  • Continually look at ways to add innovation and process improvement.

Required Qualifications, Skills & Experience

  • Associate or Bachelor's degree in Facilities, Property, Business, or related field desirable.
  • Able to problem solve with little to no direction.
  • Proficiency in a range of information technology tools and platforms.
  • Strong analytical, organizational, and presentation skills.
  • Thrive in a fast-paced environment.
  • Support a positive team environment with a friendly and can-do attitude.
  • Ability to multitask while maintaining a positive outlook and proactive approach.
  • Demonstrate the ability to make the customer feel that they are the only guest, and delivering an outstanding lasting impression.
  • Have excellent communication and interpersonal skills required.
  • Ability to communicate effectively, both verbally and in writing.
  • Sound computer skills including willingness to learn Atlassian software products and tools.
  • Ability to work with fellow colleagues and other wider team members.
  • Build rapport and cooperative relationships with customers and visitors.
  • Contribute to maintaining a safe and healthy workplace.
  • First Aid Officer desired or willingness to be trained.
  • Floor Fire Warden desired or willingness to be trained.
