JOB PURPOSE:The Sports Coordinator serves as the frontline service of the Club to its members, dependents, and guests. He/she shall be responsible in providing the facility users an excellent and memorable service experience. He/shall uphold the Club's rules and regulations, and ensure proper upkeep of the assigned sports facility.
Upholds the Club's Values at all times;- Presents professional appearance and attitude at all times, and maintains a high standard of customer service;
Establishes good rapport with the Club members, dependents and their guests;
- Works cooperatively with other team members and shares information as appropriate;
Promotes a healthy interdepartmental and intradepartmental relations;- Provides accurate and timely delivery of service and enforces departmental & Club policies and procedures in all matter pertaining to the care of sports facilities;
Overall supervision of the assigned sports facility, program area and staff; and
- Performs other related duties and special projects as assigned by the immediate superior.
- SPECIFIC RESPONSIBILITIES AND ACCOUNTABILITIES
- 2.1. CUSTOMER SERVICE - LEAD
Provides day-to-day supervision of assigned sports facilities including scheduling of staff to ensure coverage meets requirements of members/guests;- Ensures that members or guest complaints are resolved in a professional & timely manner, and in accordance of department's policies and procedure;
Demonstrates a thorough understanding of the assigned sports facilities and services provided within the Club and identify opportunities for up-selling, cross-selling and promoting when appropriate;
- Ensures that queries are handled and answered in a timely & professional manner;
Handles major complaints or queries that cannot be resolved by the staff;- Educates facility users on the facility rules and regulations, if necessary;
Seeks verbal and written feedback from facility users on a regular basis. Ensures that feedbacks obtained are recorded and acted upon accordingly; and
- Acts as a Sports Coordinator, if necessary.
- 2.2. SPORTS FACILITY MANAGEMENT
Monitors and validates inspection checklist per assigned sports facility. Ensures that such reports are properly recorded and submitted daily to the Sports & Athletics Department;
- Keeps updated on current trends and development of the assigned facilities through adequate research and benchmarking, and recommends improvements when necessary; and
Ensures that equipment and materials in the assigned sports facilities are in good condition, complete and available.
- 2.3. EVENTS AND TOURNAMENT MANAGEMENT
Organizes tournament events and takes an active role in the promotion and marketing of these events;- Assists during tournament events which includes but not limited to (i) tournament set-up; (ii) manning requirements; (iii) tournament programs and; (iv) tournament invitations.
Prepares tournament post-mortem reports which includes but is not limited to (i) tournament results; (ii) members, guests and participants feedback; (iii) number of attendees; (iv) post-mortem program flow; and (iv) profit & loss statement.
- 2.4. ADMINSTRATIVE AND SUPERVISORY RESPONSIBILITIES
Monitors and authenticates POS transactions that requires voiding or cancellation;
- Collects daily the consolidated Chits from the Sports Coordinators. Ensures that all chits are correct, signed, and complete before submission to the billing department;
Prepares ISP Fees by using the template provided by the Finance Department;- Participates in the accreditation of the Club's ISPs;
Prepares and submits incident reports to the Sports and Athletics Management on possible violation of the Club's rules and regulation;
- Creates monthly schedule of Sports Coordinator based on normal operational needs and any special events. Ensures proper shift rotation and breaks are managed and/or covered;
Participates in on-going training and staff development for Sports Coordinator. Ensures employee satisfaction through training and career development, organizational teamwork, excellent communication and programs to continually improve morale;- Ensures that Sports Coordinator are fully competent in first aid, CPR, and customer service;
Orients new Sports Coordinator on job duties and responsibilities. Ensures that all Sports Coordinators are current on their training and certifications as appropriate;
- Effectively and fairly deals with all employees and their issues and concerns; as well as utilizing the Club's disciplinary procedure and performance evaluation;
Participates in the interview and selection of Sports Coordinator;- Determines & develops work procedure & policies for the assigned sports facility/program area to improve delivery of service to members/guests.
At least college graduate of Sports Science, Sports Management or its equivalent.- With at least three (3) years of work experience in customer service and events management.
Must be physically fit and can perform the minimum physical work of the job.
- Must be amenable to work on a shifting schedule, weekend, and/or holidays, if necessary.
Must be highly organized and reliable.
