What will you do
- Organizes site meetings. Prepares minutes of meetings (MoMs) and handles site visitors professionally.
- Manages site documentations and providing Document Control support and ensuring proper version control of all projects related documentation in line with company / project procedures for receipt, storage, and distribution, utilizing various EDMS (Electronic Document Management System).
- Routes all endorsed project documentation as per the company / project procedures, to suppliers, client, and construction sites. Manage the receipt and control of all project documentation as per the company / project procedures, from suppliers & client.
- Leads in processing full regulatory compliance for government mandated permits and licenses as scheduled.
- Maintains the MDR (Master Document Register) / CDL (Contract Drawing List) that is generated from the clients approved working documents.
- Prepares & collates H&S (Health & Safety) Files, including technical manuals (O&M) to relevant project requirements.
- Manages site cleaner(s) and Requisition of stationery and hygiene supplies.
- Assists in typing, researching, compiling, proof- reading and editing of assigned documents.
- Provides general administrative support to the Site Lead(s) and project team
Education & Skills Required
- At least two (2) years of experience in Site Administration for engineering and construction projects - managing the various day-to-day site admin tasks.
- Any 4-year course related to Business and/or Office Administration
- Knowledge of engineering documentation/drawings etc. and Document Control quality checks.
- Some experience with rail projects and relevant industry standard client documentation practices is desirable.
- Assisting the Site Lead(s) with ad-hoc admin requests.
- Computer literacy especially skilled in Microsoft Office 365, Outlook, Teams Excel, PowerPoint, Adobe Acrobat, ProjectWise etc.
- Detail-oriented and able to work independently.
- Ability to work in a busy fast-paced site office environment.
- Excellent communication skills (Written and Oral).
- Discretion and the ability to handle confidential information.
- Certification in Document Control is ideal but not essential
