Our client is looking for Service Operations Coordinator
High School Diploma is required; College, business classes, and/or certifications, such as finance related, preferred
- Multiple years of recent and relevant service coordination skills
Customer service experience working with service projects- Experience with HubSpot and Acumatica preferred
Experience in working with a manufacturer
- Aptitude for job costing, budget concepts, and procurement
Professional communication skills with customers and Sales Managers- Attention to detail and strong organizational skills
Excellent English communication skills, including phone and written etiquette
- Experience working in an evolving, dynamic, fast-paced, and demanding environment
Attention to detail, strong organizational skills, and an excellent planner- Proficient with Microsoft Office Suite (Excel, Word, Outlook, etc) and other business software required
- MAJOR RESPONSIBILITIES/ACTIVITIES
Using Company systems (Acumatica and HubSpot) to track and manage assigned generator service activities and projects across DVL service sale contacts, equipment sales start-ups, and especially manufacturers reimbursed projects, which includes preventative maintenance, start-up's, warranty claims, and other service-related projects.- Submit warranty claims and register new Generator, ATS, and other equipment as necessary according to manufacturer's requirements.
Ensure the manufacture is properly invoiced, projects are closed, and revenues/costs are recognized in accordance with the project's progress and terms & billing requirements.
- Track assigned service projects and jobs from beginning-to-end (requested-to-paid).
Order parts, assign costs to ticket/project, communicate parts estimated shipping window, and track the arrival of parts.- Provide clear and frequent customer and stakeholder communications.
Administer and suggest improvements to service operations processes.
- Track service department costs in Acumatica ensuring accuracy and association with each ticket and project.
Reconcile manufacture's statement every month to ensure payments/credits are received on what was submitted.- Work closely with the Service Manager, Other Coordinators, and Sales Managers to support customers and maintain relationships.
Act as back-up on answering the phone during core business hours (8am 4pm U.S. Mountain Time Zone)
