Job Description
We are seeking a highly-skilled, experienced, and proactive Zoho CRM Administrator with Sales Operations experience to join our team. The successful candidate will be responsible for building and managing the entire CRM and ERP system within the Zoho suite. This includes CRM, marketing automation, project management, human resource/employee management systems, financial integration, and more.
In addition, you will be responsible for managing other related systems such as: email automation systems (instantly.ai, zoho campaigns/automation), website systems (squarespace), lead forms and flows (zoho forms), automated company and people research APIs, CRM enrichment, user onboarding and offboarding, and AI tools (make.com, etc.). You should have broad technical experience and enough programming experience to work with basic APIs and systems. This role will require creative thinking skills as you help the company build out our processes and apply AI and technology to our lead, marketing, and sales flows.
You will work closely with the businesss founder, as well as an experienced Zoho consulted in the USA, to expand the CRM system functionality, document functionality, and processes, improve integrations with the website, implement workflows, and implement and execute marketing automation (in support of a strategy marketing team), and develop training for the expanded team to utilize the system.
In addition, as the system becomes mature, you will focus on running certain sales operations tasks to ensure that the CRM is properly utilized and that data quality and integrity remain intact.
As this team grows, a successful candidate will have the opportunity to lead a team of CRM and system analysts and administrators. To achieve this growth path, the candidate will need to demonstrate team leadership skills during the first 3 to 6 months on the job.
You will be working remotely for a US-based business with US-based clients, but you will be a part of a team located in the Philippines. This is a full-time role and requires you to commit all of your working time to this position and company.
Responsibilities
- Develop and manage all aspects of Zoho CRM
- Develop and manage sandbox environment for testing
- Build and manage Marketing automation workflows alongside a marketing strategy team
- Manage document signing workflows, document templates, and other business workflows
- Manage Project Management tool templates and integrations to the CRM
- Manage all aspects of Marketing Operations and Sales Operations as it relates to the CRM system and other related systems
- Manage other business systems as needed (all or most are integrated into the CRM)
- Build workflows, integrations, and automations with the CRM (a development team will be available to assist, but some coding experience is beneficial)
- Develop documentation and training for the team to improve CRM adoption
- Develop a data cleanliness strategy to monitor and maintain the CRM data quality and organization
- Develop reporting methods within the CRM and produce recurring reports including financial, projection, team adoption, and more
- Identify ways to simplify but make the CRM workflow powerful - drive proactive strategies to help the business scale
- Demonstrate leadership, teamwork, collaboration, motivation, and accountability with remote work
Requirements
- Strong English speaking, writing, and comprehension
- 3 to 5 years working in Zoho CRM and other Zoho applications
- Experience building and executing marketing automation programs and working in a sales operations capacity
- Strong skills in Excel and/or Google Sheets
- Experience using standard office and document processing software such as Microsoft Office and Google Docs
- Zoho CRM experience is a plus
- Strong internet connection and full remote work setup (monitor, strong computer, web camera, microphone, or headset)
- Working with the team live based on the USA time zone

- Work Schedule: Mountain Standard Time / Mountain Daylight Time Monday through Friday 8 am to 5 pm with 1 hour of time off for lunch
