Order Processing & Distribution Specialist (FMCG)
Job Description
Order Processing and Accuracy:
- Receive, enter, validate and ensure order accuracy of incoming orders versus purchase orders (PO) (Retail, Export).
- E-Commerce, etc.) from assigned customers and sales teams.
- Manage any changes or updates to orders and maintain proper documentation.
- Manage Container bookings (Export containers only).
- Update Google Calendar, Trello, and Sales Forecast Sheet. (Export containers only)
- Issue pick tickets (for export containers only), and consistently communicate with the Warehouse (WH).
Order Documentation And Tracking
- Facilitate the Issuance of delivery notes (PLC-SG), invoices, and export documents if needed, promptly.
- Communicates daily with Planners, Packing & WH Team.
- Provide regular updates to customers and internal stakeholders regarding order status such as Reports on Back Orders to the Sales Account Manager including Short Shipped Reports.
Customer Service
- Report on processing claims and returns via replacement and/ or credit notes as needed, and shipping orders.
- Send Out-of-Stock (OOS) (for NZ Retail) Weekly Reports to different Customers.
Freight And Transportation Management
- Arrange local couriers.
- Track and manage shipments throughout the transportation process.
- In charge of preparing Certificate of Origin (COO) and Full sets of Shipping Documents
- Source transportation methods and carriers for various types of shipments.
- Negotiate favorable freight rates and contracts with carriers to optimize costs.
- Arrange packaging for NZ facility, and follow up on incoming packaging.
Inventory And Distribution Control
- Conduct regular stock audits based on cycle counts to maintain inventory accuracy and monitor and report inventory shortages.
- Adjusting/Updating inventory (SAP & Muhro).
- Implement (export) and verify(local) FEFO and FIFO to minimize stockouts and excess inventory consistently.
- Updating Bell Road Forecast (NZ Retail)
Job Qualifications
- Bachelor's Degree in Supply Chain, Logistics, Business Administration, or a related field
- At least 5 years of experience in order management and logistics in the pet food and food industry or similar FMCG sector is a plus
