Duties and Responsibilities:
Document Management:
1.Monitors Eastland Heights Project Inventory/Availability and disseminates it daily to the sales team
2.Ensure that all documents, including contracts, agreement
3.s, and financial records, are accurately prepared, organized, and stored.
4.Implement and maintain a filing system, both digital and physical, to ensure easy retrieval and compliance with legal and regulatory requirements.
Compliance and Legal Requirements:
5.Ensure that all documents comply with localregulations.
6.Keep up-to-date with changes in laws and regulations that affect real estate documentation and adjust practices accordingly.
Coordination with Departments:
7.Collaborate with various departmentsto gather and process necessary documentation.
8.Ensure seamless communication and coordination between departments to prevent documentation-related delays.
9.Escalates Sales and Customer concerns to Top Management
Document Creation and Review:
10.Oversee the creation and review of legal and to ensure accuracy and completeness.
11.Guide drafting, editing, and proofreading documents to maintain high standards.
Record Keeping and Archiving:
12.Manage the archiving of historical documents and ensure they are securely stored.
13.Develop and enforce procedures for the retention and destruction of documents following company policies and legal requirements.
Technology and Systems Management:
14.Implement and manage document management software and systems.
15.Ensure that digital documentation practices are secure and that data is protected from unauthorized access or loss.
Training and Support:
16.Train staff on proper documentation procedures and best practices.
17.Provide support and assistance in resolving any documentation-related issues or queries.
Audit and Quality Control:
18.Conduct regular audits of documentation processes and records to ensure accuracy and adherence to policies.
19.Implement quality control measures to identify and address any discrepancies or errors in documentation.
Customer and Stakeholder Interaction:
20.Serve as a point of contact for clients and stakeholders regarding documentation-related inquiries or issues.
21.Ensure that clients receive accurate and timely documentation for their real estate transactions.
Reporting:
22.Generate reports on documentation processes, compliance, and other relevant metrics for management review.
23.Presents monthly, and YTD sales production report to the VP and President on Mancom, Execom, and Strategic planning.
24.Provide insights and recommendations for improving documentation practices and systems.
25.Overall, the Documentation Manager ensures that the real estate company's documentation processes are efficient, accurate, and compliant with legal standards, supporting smooth operations and effective management of real estate transactions.
