As a Recruitment Admin Specialist in the home care industry, you'll be at the heart of creating seamless transitions for new team members, ensuring every hire is ready to provide meaningful, compassionate in-home services to the elderly. Your role is crucial, as you'll be responsible for managing paperwork, personnel files, and onboarding communications with exceptional quality and care. What You'll Do: The Guiding Light for Our Newest Care Heroes
- Create, manage, and refresh engaging job advertisements actively monitor their success across multiple online recruitment platforms.
- Ensure weekly understanding of recruitment needs by discussing with the scheduling team.
- Complete the daily Smart Recruiters email process.
- Access CV search libraries to broaden the pool of candidate applications.
- Report monthly recruitment KPIs and statistics to the recruitment lead.
- Attend webinars or information sessions on recruitment practices, providing feedback and incremental improvement steps to the recruitment lead.
- Support the screening of new candidates and schedule interviews with the recruitment lead, updating Teams and Calendly accurately.
- Call each candidate the day before or on the day of their interview to confirm attendance and check if their application form is complete.
- Schedule contracting for successful interviewees, ensuring DBS is paid, lodged, and recorded in People Planner and My Learning Cloud (MLC).
- Collect two satisfactory professional and two personal references for each candidate, documenting these electronically.
- Review candidates application forms for compliance, ensuring completeness and accuracy.
- Notify relevant team members of expected attendees for the Welcome Session.
- Track and process new starters across various training courses until their personnel and onboarding files are complete.
- Complete and save a DBS Certificate Record into the candidate's file the same working day upon DBS return document any required risk assessments following DBS outcomes per current codes of practice.
- Set up each candidate on the eLearning platform (MLC) for pre-training completion.
- Monitor and manage new candidates compliance with required eLearning prior to training.
- Transfer individual MLC accounts to the training lead upon completion of initial eLearning stages.
- Ensure each new candidate has proper business insurance before the Day in the Life of Betty session.
- Keep the Recruitment Pipeline updated with relevant comments and notes.
- Accurately add each candidate to the HR system, Access People Planner, including all pertinent information.
- Engage with new candidates twice weekly throughout onboarding, ensuring they feel valued and engaged.
- Manage legal requirements for driving licenses, vehicle safety (MOT), and relevant insurances, staying updated on any policy or legislative changes.
- Ensure candidates are ready to work with fully completed files in the shortest time possible.
- Provide the Recruitment Lead with the File Completion Checklist within three days of training completion (unless the DBS is pending).
- Conduct monthly monitoring on MLC.
- Support candidates with any queries throughout the recruitment process.
- Actively manage DBS checking and recruitment compliance for long-standing Care Professionals.
- Prepare care certificate matrices with e-learning and load into relevant e-records.
- Post-completion of the Day in the Life session, upload competencies to ACWDS, MLC, People Planner, Teams, and e-records.
- After field observations, upload competencies to ACWDS, MLC, and e-records.
- Load monthly eLearning for each candidate into ACWDS and People Planner.
- Update ACWDS, People Planner, and e-records weekly with completed spot checks and support visits.
- Upload candidate photos to People Planner and send photos to the relevant field care manager.
Requirements

- 3-5 years of experience in regulated recruitment, with adherence to standards and values-based recruitment practices.
- Must be personable, warm, empathetic, and caring, with a reliable work ethic. The team is open, bubbly, and friendly.
