Overview:
We are looking for an experienced and motivated Inventory/Purchasing Sr. Team Leader who's ready to take ownership of a key role with a fast-growing company entering an exciting phase of expansion. You'll have the support of executive leadership and play a crucial role in driving company-wide goals, including improving lead times and optimizing resource allocation.
In this pioneer role, you'll have the opportunity to lead from day one, leveraging your expertise to directly shape our inventory processes, organize how we track our inventory, improve efficiency, and drive significant cost savings. You'll be at the heart of our strategic vision, influencing critical areas like operational performance and cost management.
You'll lead essential projects, including organizing our systems for inventory tracking to ensure assets are properly accounted for, enhancing return/exchange workflows, optimizing inventory repurposing for resale, and developing purchase order (PO) reconciliation and warranty vendor credit tracking processes. You'll collaborate with cross-functional teams, receive training on Brightree software to help integrate inventory tracking systems, and benefit from direct mentorship from our senior Procurement Manager, ensuring you have the resources and support to learn the ins and outs of the DME/CRT industry.
As you grow with us, you'll have the opportunity to transition into leading and mentoring the inventory and purchasing team. Within 18-24 months, you'll drive vendor negotiations to secure better pricing and terms-making a real difference to our bottom line.

Key Responsibilities:
Phase 1: Project Management & Inventory Control (Initial 6-12 Months):
In this role, you will lead critical projects to enhance our inventory controls, improving accuracy, reducing waste, optimizing cash flow, and ultimately delivering greater customer value. While your expertise in inventory management will be key to drive these initiatives, you will receive support and mentorship from our senior Procurement Manager. Although the Procurement Manager is not an inventory expert, they bring valuable DME/CRT industry insights and resources to ensure your success. You will also collaborate with cross-functional teams, such as sales, purchasing, and warehouse management, to align on project goals and execution.
  1. Waste Reduction Initiatives
    • Identify inefficiencies within our inventory processes and set baseline metrics.
    • Develop and implement a targeted action plan to reduce waste, and report on measurable improvements.
  2. Brightree Software Training
    • Participate in training with our Brightree software vendor to master the inventory tracking functionalities, setting you up for success in inventory management.
  3. Inventory Reconciliation & Audit Control
    • Collaborate with our warehouse manager to reconcile physical inventory counts with software data, addressing current record inaccuracies.
    • Implement regular audit controls to support real-time inventory accuracy.
  4. Return/Exchange Process Optimization
    • Design and execute an improved return/exchange process to enhance oversight, efficiency, and customer satisfaction.
  5. Returned Inventory Repurposing
    • Develop and implement an improved system for tracking and repurposing returned inventory for resale to reduce waste, and free up valuable warehouse space.
  6. Warranty Vendor Credit Tracking
    • Implement a robust system for organizing and tracking warranty vendor credits, helping recover costs and maintain financial accountability.
  7. Purchase Order (PO) Reconciliation Process
    • Assess the accuracy and compliance of the current purchase order system. Define the current compliance rate and propose an actionable plan to enhance it with measurable outcomes.

Phase 2: Growth into Team Leadership (After 6-12 Months):
. Inventory and Purchasing Management: Oversee inventory and purchasing operations, ensuring smooth execution from procurement to delivery, including vendor quotes, purchase orders, receiving, stocking, assembly, staging, delivery, vendor returns, and warranty processing.
  • Best Practices: Apply your extensive experience in managing the inventory and purchasing lifecycle to ensure our processes are efficient, cost-effective, and aligned with best practices.
  • Team Leadership: Provide hands-on leadership, setting standards for inventory accuracy and purchasing efficiency. As you take on more leadership responsibility, you will be supported with mentorship and guidance from senior management and Learning Specialist team to ensure a smooth transition.
Phase 3: Vendor Management and Negotiation (After 18-24 Months):
. Vendor Relations: Serve as the primary point of contact for vendors, overseeing order accuracy, managing returns, and ensuring warranty processes are executed correctly.
. Vendor Negotiation: Take on vendor negotiations, working to secure favorable pricing and terms while maintaining strong vendor relationships.

Ongoing Responsibilities Throughout All PhasesCross-Department Collaboration (Initiated in Phase 1 and Continual)
. Work collaboratively with other departments, including logistics, billing, and customer service, to gather insights and ensure inventory and purchasing processes support broader company goals.
. Help bridge the gap between purchasing, inventory, and other teams to foster a cohesive workflow that enhances company-wide efficiency and customer satisfaction.
Data Analysis & Continuous Improvement (Initiated in Phase 1 and Continual)
. Analyze inventory and purchasing data to monitor performance, identify trends, and provide data-driven insights to senior leadership that directly contribute to improving company performance.
. Drive continuous improvement initiatives, leveraging your expertise to introduce best practices that enhance order accuracy, reduce lead times, and improve cost management. These efforts will be crucial in shaping the future of the company's inventory management strategy.

Other Job Responsibilities:
. Monitor and manage inventory levels.
. Process purchase and sales orders, ensuring proper documentation.
. Create inventory items in the system.
. Communicate with vendors for order specifications and changes.
. Compare prices and quality from various suppliers.
. Maintain meticulous records of transactions and documents.
. Track order statuses to ensure timely delivery.
. Handle administrative tasks related to procurement.

Qualifications:
. Exceptional communication skills, both spoken and written, are crucial for this role. You must be able to clearly articulate ideas, actively listen, and engage in meaningful collaboration with cross-functional teams. Your ability to lead discussions, convey complex information simply, and ensure alignment across all levels of the organization will be key to your success.
. Proven experience in inventory and purchasing management, with a strong understanding of the full lifecycle, including procurement, receiving, stocking, delivery, and returns.
. Strong problem-solving skills with ability to proactively identify and resolve issues and operational challenges.
. Ability to lead projects and implement best practices in inventory and purchasing, while guiding the organization in adopting efficient workflows.
. Proficiency with inventory control systems and related software (e.g., Brightree, ERP systems).
. Strong leadership skills with experience managing a team, setting goals, and mentoring individuals to achieve their full potential.
. Experience with vendor relations, vendor negotiations, and/or procurement activities within a regulated industry.
. Willingness to learn the specifics of the healthcare, DME, and CRT industry from our senior Procurement Manager while contributing immediate value based on your existing expertise.
. Bachelor's degree in supply chain management, logistics, business, or a related field preferred.
