Job Description

The Purchasing Assistant of Victor Consunji Development Corporation is responsible for executing VCDC Project procurement requests: negotiating, preparing contracts or agreements, maintaining accurate and complete purchasing records with sub-contractors, issuing purchase orders, reviewing all purchase slips, specifications, and authorization/verification required of stocks or alternative sourcing, maintain and improve inventory system, payments, prices, and delivery schedule, lastly, have proficient knowledge in canvassing and vendor coordination, thus, experience and expertise in market research.
  • Detailed Duties and Responsibilities:

  • Assist the Purchasing department with day-to-day operations;

  • Interact with suppliers, both to maintain pricing and delivery schedules

  • Interact with internal personnel as a liaison between supply orders and project orders

  • Responsible for the regular updating of the maintenance of the purchase order database

  • Responsible for the close monitoring of deliveries of stocks

  • Notify concerned Project Managers and operations concerning delays in deliveries

  • Maintain business system integrity regarding supply orders

  • Assist with preparing daily/weekly order status reporting

  • Assists with preparing formal bid documents for items and services to ensure that materials comply with all the requirements given by the Project Managers/ Site Engineers.

  • Informs other staff and vendors regarding the Company's procedural requirements (e.g., ordering and purchasing procedures, etc.) to facilitate ensuring the availability of documentation and compliance

  • Participates in a meeting, in-service training, workshops, etc. to convey and gather information required to perform job functions efficiently

  • Perform general and program-specific clerical functions (e.gh answering the telephones, distributing purchase orders, scheduling, copying, faxing, etc.) to support departmental accountabilities

  • Processes financial data and documents (e.g., bids, incoming purchase requisitions, mail, etc.) to update and distribute information and acquire resources to support purchasing operations in compliance with established guidelines of the Company

  • Responds to inquiries of staff and administration regarding purchasing procedures to provide information, direction, and referral for addressing the inquiry.

  • Liaise with suppliers to ensure the most up-to-date data is available for the supply of goods and services

  • Handling and monitoring of claims to suppliers and vendors for detectives, shortage, missing parts

  • Support relevant departments with quotations for tenders.

  • Coordinate with suppliers to ensure on-time delivery.

  • Purchase and issue an order by specification

  • Source for the new parts, suppliers, or sub-contractors when the need arises

  • Responsible for the preparation and processing of purchase orders and related documents per Company policies and procedures

  • Monitor and coordinate item deliveries between suppliers to ensure that all items are delivered to the site on time.

  • Performs related duties and projects as assigned.
  • Qualifications:
With a Bachelor's Degree in Business Studies/Administration/Marketing/Management or equivalent.
  • At least 2 to 3 years experience in construction purchasing or any related field
Supplier contacts in the construction industry are an advantage
  • Advanced knowledge of computer software applications, especially MS Excel
Time management skills:
  • Meet all deadlines.
Review all work for completeness and accuracy, skilled to work in a fast-paced environment.
  • Handle a large workload.
Manage tight deadlines while meeting the VCDC standard.
Negotiating Skills: Negotiate skillfully, cultured on how and when to make a compromise, effective communication skills both verbal and written, proficient knowledge in canvassing and vendor coordination, and experienced and knowledgeable in market research.Interpersonal Skills: Ability to work collaboratively with staff across divisions, highly adaptable in a dynamic and changing procurement request environment, establish a good rapport with different types of personalities, and trustworthiness.
