Job Overview:


The Purchasing Assistant is responsible for supporting the Purchasing Officer in all procurement activities. This role involves maintaining accurate records, liaising with suppliers, and ensuring that materials and products are purchased at the best possible price and quality. The ideal candidate is detail-oriented, organized, and has excellent communication skills.

Key Responsibilities:
  • Assist in the sourcing and purchasing of materials, goods, and services.
Prepare and process purchase orders and documents in accordance with company policies and procedures.
  • Maintain accurate records of orders, delivery details, and invoices.
Monitor inventory levels and coordinate with the warehouse team to ensure stock availability.
  • Communicate with suppliers to obtain product or service information, such as price, availability, and delivery schedule.
Resolve any discrepancies between purchase orders and supplier invoices.
  • Follow up with suppliers regarding order status, delivery dates, and any changes.
Support the Purchasing Officer in negotiating contracts and pricing with suppliers.
  • Assist in evaluating supplier performance based on quality, delivery, and cost.
Collaborate with internal departments, such as finance, operations, and production, to ensure procurement needs are met.
  • Perform market research to identify potential new suppliers and products.
Maintain and update supplier database and contact information.

Qualifications:
  • Bachelor's degree in business.
Previous experience in a purchasing or procurement role is advantageous.
  • Strong organizational and time-management skills.
Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite
Ability to work independently.
  • Attention to detail and accuracy in data entry and record-keeping.
Strong problem-solving skills and the ability to handle multiple tasks simultaneously.
