Job Description

A purchasing assistant helps streamline the procurement process, ensuring that supplies, materials, and services are acquired efficiently, cost-effectively, and in accordance with the company's policies and standards. It also plays a crucial role in ensuring that the procurement process runs smoothly, supporting the purchasing team in achieving efficiency, cost-effectiveness, and reliability in acquiring necessary goods and services for the organization.
  • Key Responsibilities:
Order Processing: Assist in placing orders for goods and services, ensuring accuracy and completeness of order details.
  • Vendor Communication: Communicate with suppliers and vendors to obtain quotes, negotiate prices, and confirm order details.
Inventory Management: Monitor inventory levels and coordinate with relevant departments to determine purchasing needs.
Record Keeping: Maintain accurate and up-to-date records of purchase orders, receipts, and invoices.Follow-Up: Track orders and deliveries, ensuring timely receipt of goods and resolving any issues related to delays or discrepancies.
  • Administrative Support: Handle various administrative tasks such as filing documents, preparing reports, and managing correspondence related to purchasing activities.
Compliance: Ensure all procurement activities comply with company policies, industry regulations, and ethical standards.
Cost Control: Assist in managing budgets and finding cost-saving opportunities without compromising quality.
  • Skills and Qualifications:
Attention to Detail: Ability to handle detailed information and ensure accuracy in documentation and order processing.
Communication Skills: Strong verbal and written communication skills for interacting with vendors and internal stakeholders.Organizational Skills: Excellent organizational and time management abilities to manage multiple tasks and deadlines.
  • Analytical Skills: Basic understanding of data analysis and financial acumen to assist in budget management and cost control.
Technical Proficiency: Familiarity with procurement software, inventory management systems, and standard office applications like Microsoft Office.
  • Education and Experience:
Education: Graduate of Bachelors / College Degree in Business Administration, Customs Administration, Logistics / Transportation, Engineering (Industrial) or equivalent.
Experience: 0-6 months of experience. Fresh Graduates may apply.
