Job Description

Job Summary

The Purchasing Assistant supports the procurement department in managing and facilitating the purchasing activities for the company. This role involves coordinating with suppliers, maintaining accurate records, and ensuring timely delivery of goods and services. The Purchasing Assistant will also work closely with other departments to meet their supply needs and assist in negotiating contracts to secure the best terms.

  • Key Responsibilities
  • Supplier Coordination:

Communicate with suppliers to obtain quotes, place orders, and track deliveries.

Build and maintain relationships with suppliers and vendors.
  • Order Processing:

Prepare and process purchase orders and documents in accordance with company policies and procedures.

Monitor stock levels and identify purchasing needs.
  • Documentation and Record-Keeping:

Maintain accurate and up-to-date records of all purchasing activities, including supplier information, purchase orders, and contracts.

Ensure compliance with company policies and regulatory requirements.
  • Price and Contract Negotiation:

Assist in negotiating contracts and pricing with suppliers to secure favorable terms.

Conduct market research to stay informed about product availability and competitive pricing.
  • Coordination with Departments:

Collaborate with other departments to understand their needs and ensure timely delivery of required materials and services.

Address and resolve any issues related to order discrepancies or delays.
  • Administrative Support:

Provide administrative support to the procurement department, including scheduling meetings, preparing reports, and handling correspondence.

Assist in preparing and managing procurement budgets.
  • Qualifications

Bachelor's degree in business administration, supply chain management, or a related field preferred.

Minimum of 1-2 years of experience in a purchasing or procurement role.

Experience with procurement software and systems is a plus.

Strong organizational and time management skills.

Excellent communication and negotiation skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Attention to detail and accuracy in data entry and record-keeping.

Ability to work independently and as part of a team.

Job Type: Full-time

Pay: Php16,
  • 00 - Php21,000.00 per month
