Job Description

JOB SUMMARY

Directly reporting to Purchasing Manager and /or General Manager, performs buying work with suppliers to negotiate contracts in cost efficient way, for purchase of required service, goods, materials, supplies, etc. and keep accurate records of transactions trends in support of the business operation and quality customer service.

MAIN DUTIES AND RESPONSIBILITIES

Facilitates work according to purchasing policies, systems and procedures and in accordance with Company standards.

Calls for quotations for approved purchase request and inquire prices from various suppliers.

Monitors vendors for quality, service and price through standard purchasing specifications.

Obtains competitive quotations for hotel requirements and ensure that the best product is sourced and purchased.

A minimum of three independent genuine quotations must be obtained.

Facilitates contracts to ensure reduced pricing for all operating areas of the hotel.

Updates all order receiving dates by the buyers according to the suppliers promised delivery dates.

Verifies that quotations are regularly updated and supplier's new current price lists are maintained.

Identifies new products and services for the hotel in market.

Obtains written approval for established Minimum / Maximum stock levels;

Coordinates for delivery discrepancy

Checks and reports pending /recurring orders status

Reports slow moving item lists.

Verifies that all documentation and proper quotations are maintained and filed according to Policy and Procedure requirements.

Facilitates all purchasing functions, quotations, quality and availability.

Ensures that the suppliers follow the rules relating to hygiene /care and quality of goods delivered.

Keeps all records in a way that they can be checked at any time for information or audit purposes.

Liaises with the Receiving staff, warehouse, audit & control, accounting;

Maintains all documents, files and listings up-to-date and performs his duties in the most efficient manner.

Meets flexible schedule in order to accomplish all major responsibilities and tasks.

Other related duties and responsibilities may be assigned as need arises.
