Job Description

Hi! We're Smartsourcing, looking for a Property Management Admin Associate who can work with us full-time and on-site!
Where Crown 7 Business Centre, Pope John Paul II Ave, Cebu City, Cebu

As a Property Management Admin Assistant, you'll be key in providing remote administrative support to our valued partner. To thrive in this role, you'll need to be a great listener, with the ability to juggle multiple tasks at once. We're looking for someone who enjoys solving problems and is committed to meeting deadlines with a smile. Your contributions will help ensure everything runs smoothly and efficiently!
  • Some of the things we expect you to do are to:
Listing Properties via Agent Box
  • Manage and upload property listings using the Agent Box platform.
Ensure all property details are accurate and up-to-date.
  • New Lease/Management
Handle the setup and administration of new leases and property management agreements.
  • Coordinate with relevant parties to ensure smooth onboarding of new tenants.
Lease Renewal
  • Assist with the lease renewal process, including communication with tenants and landlords.
Prepare and manage lease renewal documents.
  • Utility/Water Connections
Organise and manage utility and water connections for new and existing tenants.
  • Ensure timely coordination to avoid service interruptions.
Board Order/Removal
  • Handle the placement and removal of property signage as needed.
Coordinate with suppliers and contractors to manage board orders efficiently.
  • Vacating Renter
Manage the process for tenants vacating properties, including final inspections and key collection.
  • Ensure all vacating procedures are followed according to company policy.
Arrears (SMS and Emails Only)
  • Monitor rental arrears and send reminders via SMS and email.
Collaborate with the team to ensure timely communication with tenants.
  • Schedule Routine Inspections
Coordinate and schedule routine property inspections.
  • Ensure inspections are carried out in compliance with regulations and company standards.
Follow Up on Maintenance
  • Track and follow up on maintenance requests to ensure timely completion.
Communicate with tenants and contractors regarding maintenance issues.
  • Maintain Creditors Insurance
Monitor and maintain up-to-date insurance records for creditors.
  • Ensure compliance with insurance requirements and manage renewals.

Requirements
  • We would need you to be or have the following:
A graduate with Business Administration, Real Estate or any field related to Admin
  • Strong background in Administration as a Remote Assistant
Excellent organisational, oral and written communication skills
  • Attention to detail
Shows a high level of initiative and intelligence.
  • Possesses an Executive Assistant mindset.
Must have a pleasing personality.
  • Excellent phone skills
