The Project Coordinator Assistant is part of a growing and dedicated team of IT professionals responsible for the scoping, planning, implementation, and management of client IT projects. You build a strong relationship with clients, Project coordinators and Project Engineers while supporting them during implementation of projects.
Key Responsibilities:
- Provide a range of support services to the Project coordinators including:
- Coordinating and scheduling resources to new projects in ConnectWise application
- Create automated reports in ConnectWise
- Ensure project outcomes are achieved on time by reviewing project end dates and internal notes for tasks that are not closed
- Facilitating project communications with internal and external stakeholders in maintaining project documentation
- Support the Coordinator with meeting creation and minuting
- Support the Coordinator to prepare and maintain project documentation for finance reporting and forecasting
- Support the Coordinator with the follow up of Customer satisfaction and Internal handover surveys
Daily Tasks:
- Ensure all new projects are initiated within 24hrs of landing on the board. Coordinator assigned, engineer assigned, billing milestones as per commercials, work plan scheduled + engineer calendar updated.
- All projects estimated start and end date must be aligned to the work plan dates.
- All projects must have internal notes of ticket/task scheduled or completed.
- All projects must have a project status report created. BI report synopsis as an overview.
- All engineers calendars must be 100% scheduled for the current month and future months. Require a weekly report for overview
- All ticket / task completed, must be marked as phased closed for progress billing milestone.
- Weekly finance review required across actual and forecasts billing.
POSITION COMPETENCIES
- Experience in an administration support role
- Experience with an MSP preferred
- Excellent communication skills, both written and verbal, being able to interact with end-users effectively
- Demonstrated high level of customer service and customer advocacy skills and proven ability to build strong relationships
- Ability to work independently, yet part of a collaborative team
- Strong organizational and time management skills
- Ability to prioritize and multitask in a fast-paced environment
- Promote a culture of quality customer service in the organization
POSITION QUALIFICATIONS
- Relevant certifications, and education in administration or business fields
POSITION EXPERIENCE REQUIRED
- Minimum 2 years IT Administration support experience working in Microsoft Office (Excel, Teams, Outlook, Word)
- Advanced communication skills
- Experience using systems ConnectWise
- Customer service excellence
- Excellent time management skills
