Position: Project Coordinator
Working Hours: Monday to Friday, 8am - 5pm Central Time
Salary Range: 1000 - 1500 USD/month
(depending on interview assessment and client's approval) Please take note that pay will be given in USD
Responsibilities
- Will ensure all resources, timelines, and tasks are organized and executed on schedule to deliver accurate and timely print and direct mail projects.
- For all new (and sometimes existing clients), set up new folders in Gsuite with all the necessary templates and supporting documents
- Update folders throughout the year
- Update notes trackers, etc. as directed by Strategists
- Keep up to date on every project that youre owning, together with the Fundraising Strategist
- At every step of the way of a project, update the internal project management system
- Update the team during weekly Traffic Control meetings on where projects are at
- Flag to the team when a project is at risk of being delayed
- Alert when data is due soon
- Create clear data briefs for clients where briefs are standardized
- Create a weekly status update email for every single client, that Strategists can send out
- Clean up all data files, double check all the details
- Send data files to Data Lead with clear instructions
- Look over final files for errors or inconsistencies
- Get print estimates for campaigns for approval
- Upload final data and files to FTP site for printhouse
- Send print instructions and data instructions to printer
- Carefully review all print proofs
- Cross-reference data file with print proofs
- Every week, send updates to our print house partners to let them know what projects are coming, check in on current projects, etc.
- Make sure to get updates from the print house on delays, problems, etc.
- Updates systems and SOPs
- Help proofread all sorts of materials, including emails, landing pages, etc.
- Cover for the Project Manager when necessary
- Create checklists and new procedures as possible
- Continually improve the way we do things
Requirements
- Project Coordination background is an advantage
- Minimum of 3+ years related work experience
- Ability to multitask, prioritize, and work on multiple tasks simultaneously
- Highly motivated self-starter and has superb attention to detail
- Excellent verbal and written communication skills
- Exceptional organizational and time management skills
- Proficient problem-solving skills
- Positive work ethic, mindset, and attitude

- Can meet tight deadlines
- Proficient in Microsoft Office Suite (PowerPoint, Excel, Word), SharePoint
