Position: Product Specialist / Client Management Officer
Job Overview:
The position's primary responsibility is to ensure client satisfaction. Serving as the key point of contact for potential and current clients (tenants), this role plays a vital part in fostering trust and respect.
- Client Relationship Management:
Build and maintain strong, trust-based relationships with potential clients and existing tenants.- Focus on client retention strategies to achieve and maintain a 95% occupancy rate.
Engage with leads and actively contribute to closing deals, as securing tenants is a key performance indicator for Client Relations Officers.- Collaborate with the Sales team to align efforts and enhance overall sales effectiveness.
- Screening and Pre-Contract Requirements:
Manage the screening process for potential clients and ensure the completion and accuracy of pre-contract requirements.
Review contract terms with new clients, negotiate leases, and facilitate the collection of security deposits.- Maintain and update client account records, ensuring accuracy.
- Client Activity Coordination:
Schedule and oversee client activities, including contract signings, move-ins, move-outs, contract renewals, notice of termination, notice of inspection, notice of violation, and circulars for events.
- Collaboration and Communication:
Collaborate with the Sales & Marketing team for property-related events and promotions.- Coordinate with facility staff to ensure property readiness for occupancy.
Collaborate with internal departments to address client-related concerns, such as facility issues and payment collection.
- Client Concerns and Complaint Resolution:
Respond to client concerns promptly, with a target response rate for emails within 24-48 hours.
- Work to resolve complaints and proactively improve processes to prevent recurring issues.
- Data Analysis and Reporting:
Analyze client behavior and preferences to make data-driven recommendations for service improvements and market attraction.
- Team Training and Management:
As a senior officer, lead and manage junior officers within the Client Relations team.
- Provide training and guidance to ensure the team is well-equipped to handle client interactions effectively.
- Contract Tracking and System Optimization:
Keep track of all client contracts and recommend system optimizations to streamline client-related processes.
Maintain an updated and comprehensive understanding of company properties to provide accurate information to clients.
Bachelor's degree in Business, Marketing, or a related field.
- Strong interpersonal and communication skills.
Detail-oriented with excellent organizational and time management abilities.- Proficient in client relationship management and contract negotiation.
Problem-solving and conflict resolution skills.
- Data analysis and reporting capabilities.
