Job Description: Personal Assistant
The Personal Assistant provides high-level administrative support to the Chief Executive Officer, managing daily operations and ensuring efficient communication and coordination across the organization. This role requires a proactive individual with excellent organizational skills, discretion, and the ability to handle multiple tasks in a fast-paced environment. A background in sales is highly beneficial to support the CEO in client interactions, sales strategies, and business development initiatives.
Your Job Responsibilities Includes:
- Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Screen and prioritize incoming communications (emails, phone calls, etc.) and respond on behalf of the CEO when appropriate.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Organize and maintain confidential files and records.
- Arrange and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Ensure the CEO is well-prepared for meetings, providing necessary documents and background information.
- Plan and book all aspects of the CEO's travel, including flights, accommodations, ground transportation, and itineraries.
- Handle travel-related issues and adjustments as they arise.
- Assist the CEO in the execution of special projects, conducting research, and compiling data as needed.
- Track and follow up on projects and tasks to ensure timely completion.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Draft and distribute internal and external communications on behalf of the CEO.
Sales Support:
- Assist in the preparation of sales presentations, proposals, and reports.
- Coordinate with the sales team to ensure alignment with the CEO's initiatives and goals.
Qualifications
- Bachelor's degree in Business Administration, Communications, Sales, or a related field preferred.
- Minimum of 5 years of experience in an executive assistant or similar administrative role.
- Proven experience in supporting C-level executives is highly desirable.
- Background in sales or experience in a sales environment is a significant plus.
- Driver's License is preferred.
Skills
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with the highest degree of integrity and confidentiality.
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
- Flexibility to adapt to changing priorities and deadlines in a dynamic environment.
- Familiarity with sales processes.
Working Conditions
- Full-time position, typically Monday to Saturday.
- Some flexibility in working hours may be required to accommodate the CEO's schedule.
- Occasional travel may be necessary.
