We are seeking a highly organized and detail-oriented Payroll and HR Specialist to join our team. The ideal candidate will have at least 3 years of experience in payroll processing and HR administration, with a strong knowledge of payroll procedures, tax regulations, and HR compliance. Proficiency in using payroll software, HRIS systems, and time-tracking tools is essential. This role requires excellent communication and organizational skills, as well as the ability to handle confidential information with discretion.
- Email and Inquiry Management:
- Answer emails and employee inquiries daily.
- Review and respond to payroll and tax-related documents from mail daily.
- Payroll Processing and Reporting:
- Prepare PH and US payroll semi-monthly.
- Conduct payroll tax payment and filing monthly, quarterly, and annually for SEOP, RMC, and IDPR.
- Handle payroll journal entries semi-monthly for SEOP, RMC, and IDPR.
- Prepare and send communication and payroll reports monthly.
- Answer and prepare government compliance forms as needed.
- Register at US states for new locations as needed.
- Leave and Attendance Tracking:
- Track and update leave records in Clockify daily.
- Prepare attrition and masterlist reports monthly.
- New Hire and Termination Processing:
- Upload new hire documents in the HR shared drive semi-monthly.
- Encode new hires in payroll and insurance systems as needed.
- Terminate insurance for resigned employees as needed.
- Insurance and Benefits Administration:
- Review insurance billings monthly.
- Prepare computations for Hartford NY DBL bill quarterly for SEOP, RMC, and IDPR.
- Prepare 401k reports annually.
- Monitor the return of laptops semi-monthly.
Requirements
- Education and Experience:
- Bachelor's degree in Human Resources, Accounting, Finance, or related field.
- Minimum of 3 years of experience in payroll processing and HR administration.
- Strong knowledge of payroll procedures, tax regulations, and HR compliance.
- Proficiency in using payroll software (e.g., ADP, Paychex) and HRIS systems (e.g., Workday, BambooHR).
- Experience with email management and inquiry handling.
- Familiarity with tax payment and filing processes.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Experience with time-tracking software (e.g., Clockify).
- Knowledge of tax compliance and reporting software (e.g., QuickBooks, TurboTax).
- Experience with document management systems (e.g., Google Drive, SharePoint) for handling new hire and termination documentation.
