We are seeking a highly organized and detail-oriented Paralegal to support multiple litigation attorneys in managing case files, legal documentation, and administrative tasks. The ideal candidate will have strong experience in California civil litigation and be proficient in legal formatting, document management, e-filing, and case scheduling. This role requires a self-motivated individual capable of handling a high volume of cases while providing exceptional client service.

Key Responsibilities:
- Litigation Support: Assist litigation attorneys in managing legal cases, including organizing exhibits, documents, briefs, and evidence for hearings or trials.
- File Management: Open new client files, save and manage emails, documents, and pleadings in Sharepoint and Clio, and maintain organized case files.
- Legal Documentation: Expert-level formatting of Word documents, including pleadings, discovery, and legal correspondence; prepare case captions, proof of service, and maintain pleadings and discovery indexes.
- E-filing: E-file documents in California state courts through First Legal (Federal court experience is a plus).
- Scheduling & Calendaring: Schedule client appointments, depositions, and court hearings; calendar litigation deadlines and monitor updates in Clio and Outlook.
- Client Coordination: Coordinate with clients to obtain necessary documents and handle the return of documents at the end of cases.
- Billing: Enter billable time and client/case expenses into Clio, including attorney time as needed.
- Document Preparation: Prepare basic motions, respond to discovery, and assist in drafting deposition notices under attorney direction.
- Legal Research: Conduct legal research using Westlaw as required for ongoing litigation matters.
- Communication: Call court clerks for scheduling, calendar dates, and continuances; provide updates on court hearings and deadlines to the team.
- Ad hoc tasks from the client.
Requirements & Qualifications:
- Minimum of 2+ years of experience in California civil litigation.
- Proficiency in legal formatting in Word, including the creation of Table of Contents (TOC) and Table of Authorities (TOA).
- Experience with e-filing in California state courts (Federal court experience is preferred).
- Strong experience with calendaring litigation deadlines and attorney meetings.
- Ability to handle a high volume of cases and multitask in a fast-paced environment.
- Strong knowledge of legal research tools like Westlaw.
- Excellent organizational and time management skills, with attention to detail.
- Exceptional communication skills, both written and verbal (with little to no accent).
- Amenable to working Monday Friday 9 AM 5:30 PM Pacific Time (US/Canada)
Preferred Qualifications:
- Experience working in a small firm environment with cost-sensitive clients.
- Proficiency in the following software: Clio (or similar cloud-based practice management software), Sharepoint, OneDrive, Outlook, Teams, Westlaw, First Legal, and Corvum (Softphone).
- Familiarity with both civil and federal litigation processes.
- Experience managing multiple cases and handling legal secretary tasks in addition to paralegal duties.
- Strong client service instincts with the ability to handle sensitive legal matters effectively.
