The Order Fulfilment Officer is primarily responsible for the overall facilitation and processing of purchase orders and execution of last mile delivery to the customers.
S/he ensures that customers are satisfied by providing outstanding service and effective delivery of Moscord products and services, whilst maintaining data quality and integrity.
Key Position Accountabilities
The Order Fulfilment Officer is responsible and accountable for (but not limited to) the following:
Executing the order fulfillment process and overseeing assigned transactions until delivery
Generating and issuing transactional documents to the correct parties
Monitoring shipments, vessel schedule and activity, supplier and port hub deliveries
Communicating constantly with vessel/vessel agent, purchasers, suppliers and port hubs to ensure deliveries are fulfilled in an efficient and timely manner
Converting transaction data from various customer formats to Moscord standard, and exporting/uploading to/from Moscord transaction system and/or third-party platforms
Ensuring all transactions and customer issues are prioritized correctly, processed and/or resolved within agreed turnaround time
Escalating any critical issues to the Customer Service Team Lead, Department manager, Regional Managers and other internal stakeholders as necessary
Proper handover of open transactions or issues to the next shift
End-to-end transaction processing as needed (e.g. RFQs or items for requoting, mapping or sourcing, back orders, etc
Performing data handling-related tasks in relation to order fulfillment, such as data verification/validation, data entry, cleansing, mapping and standardization
Providing exceptional customer service to both external and internal customers on a day-to-day basis
Understanding and execution of standard procedures and documentation
Ensuring accurate records and documents are stored in appropriate Moscord database repositories
Participating in brainstorming activities, meetings, researching and assisting with process, system, and data improvement efforts
Maintaining own knowledge of updates in company products, services and policies
Ensuring that all activities are carried out in accordance with the company's policies
Performing any other duties as requested by the Team Lead or Order Fulfillment Manager
Education, Experience, Training and Special Skills
Work experience in maritime procurement, logistics or supply chain management, or similar desirable
Educated to a minimum standard equivalent to bachelor's degree level in Information Technology, Computer Science, or related field desirable
Proficient or advanced skills with MS Excel and MS Office applications essential
Strong written and oral communication (English) essential
Good research skills particularly using the web - essential
Excellent computer skills and internet-savvy essential
Record-keeping and data entry - essential
