Job Description

The Operations Officer is responsible in ensuring complete documentation of on-boarded accounts including monitoring of these documents. He/she is also in-charge in the documentation, and accurate and timely processing of client's settlement instructions like contributions and withdrawals.
  • Settlement and Reconciliation
Ensure timely processing and booking of Client's settlement instructions
  • Ensure proper documentations are in place prior to execution of funds settlement instructions
Prepare checks of Staff Provident Loan of PBCOM employees and for retirement benefits/escrow accounts of the business
  • Process trust fees collection, in coordination with Portfolio Officer for the funding
Monitor, check and review daily summary of principal investments and withdrawals of all trust products
  • Reconcile the clients and the Trust Group's operating/settlement accounts and ensure that any gaps or variance are appropriately reported and resolved within the acceptable timeframe
Deliver/send to Client and or c/o Branches daily reports like COP, Confirmation of Investment (COI), and client's copy of onboarding documents like Agreement, Thank you letter, etc.
  • Document Management
Ensure complete submission of account opening and client's investments documents like LOI and KFD, and monitor submission for deficiency if any
  • Keep track of documentary deficiency, if any and ensure compliance within agreed time
Properly keep or file related statements and other documents evidencing funds settlement processing (including Confirmation of Participation) in an organized manner
  • Act as Vault Primary Custodian of Trust clients account folders and Accountable Forms
  • Risk Management
Observe established operational controls and procedures and comply with the Bank's policies and regulatory issuances at all times.
  • AMLA Management
Managing AMLA alerts, transaction risk and covered transaction reported on the bank-wide Compliance/AMLA reporting system (AML base 60)
  • Qualifications:
Bachelor's degree in Finance or equivalent
  • At least 1 to 3 year experience in Trust Operations.
