Operation Assistant will support the Operations Manager in ensuring efficient and smooth business operations. This role involves a variety of tasks, including administrative duties, coordination of daily activities, and facilitating communication across various departments. The ideal candidate will be highly organized, detail-oriented, and capable of handling multiple tasks simultaneously.
Assist with scheduling meetings, appointments, and travel arrangements.- Prepare and distribute meeting agendas, minutes, and reports.
Maintain and update company databases and records.
Support the Operations Manager in coordinating daily activities and projects.
- Monitor and track the progress of ongoing projects and report any issues.
Liaise with different departments to ensure smooth communication and workflow.
- Inventory and Supplies Management:
Manage office supplies and equipment, ensuring they are well-stocked and maintained.- Coordinate with vendors and suppliers for procurement and maintenance services.
Respond to inquiries from clients, customers, and stakeholders.- Assist in resolving any operational issues or complaints.
- Documentation and Reporting:
Prepare and manage operational reports, summaries, and presentations.
- Ensure all documentation is accurate, up-to-date, and easily accessible.
Identify areas for process improvement and assist in implementing solutions.
- Participate in operational audits and provide recommendations for enhancements.
Bachelor's degree in business administration or a related field is preferred.
- Proven experience in an administrative or operations role.
Excellent organizational and time management skills.- Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
Attention to detail and problem-solving skills.
