The Medical Virtual Assistant will play a critical role in providing administrative support, ensuring the smooth and efficient operation of our sleep lab. The ideal candidate would be providing stellar customer service by handling incoming patient calls. They would triage the calls as well as assist with scheduling/rescheduling requests, transcribing messages to route to provider teams, and medical records requests.
Responsibilities:
- Coordinate patient intake and scheduling for follow-up appointments, ensuring timely and accurate communication with patients and referring physicians.
- Prepare and maintain patient medical records, ensuring compliance with HIPAA regulations and confidentiality policies.
- Handle phone calls, emails, and other correspondence in a professional and timely manner, providing assistance and information as needed.
- Triage calls accordingly
- Perform other administrative duties as assigned by the sleep doctor or the head of operations.
Qualifications:
- Nurse or degree any related field.
- Previous experience as a medical virtual assistant or administrative assistant in a healthcare setting, preferably in a sleep medicine practice or sleep lab.
- Strong organizational, communications and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills, with a professional and courteous demeanor.
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Knowledge of medical terminology and healthcare billing processes preferred.
- Familiarity with electronic health record (EHR) systems and practice management software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to changing priorities and responsibilities.
