The Role We Need:
PadSplit seeks a dynamic and driven Maintenance Coordinator. This pivotal role involves overseeing all maintenance activities, including managing data cleanup, vendor relationships, scheduling, and reporting. As the main point of contact for all maintenance tasks, the coordinator ensures timely completion and accurate documentation. This role is crucial in maintaining the quality and safety of our shared housing units, thereby enhancing the living experience for our members.

We seek a highly organized Maintenance Coordinator with a proactive nature, thriving in fast-paced environments, and dedicated to upholding property care standards. The ideal candidate for PadSplit is not only technically skilled but also deeply committed to our mission of providing safe, affordable housing.
Here's What You'll Do Day To Day:- Perform data cleanup of work orders to ensure accuracy and completeness.
- Upload photos and relevant documentation to work orders in the maintenance management system.
- Close out all work orders submitted by vendors upon completion.
- Follow up with vendors on outstanding work orders that have not been completed to ensure timely resolution.
- Pull initial reports of work orders that need to be scheduled.
- Assist with the onboarding of new vendors, ensuring they understand our maintenance processes and requirements.
- Update and maintain current vendor contact information in the maintenance management system.
- Follow up with vendors regarding invoices and ensure timely payment if needed.
- Prepare and send daily maintenance reports, detailing outstanding work orders, in-progress tasks, and completed work.
- Maintain records and logs of all maintenance activities for review and auditing purposes.
- Schedule room turns and other routine maintenance activities to ensure minimal disruption to operations.
- Coordinate with other departments to align maintenance schedules with operational needs.
Here's What You'll Need To Be Successful:- Experience: Minimum of 1+ years of experience in property maintenance coordination, facilities, or a related field.
- Technical Skills: Proficiency in maintenance management software and basic knowledge of building systems (plumbing, electrical, HVAC, etc.).
- Organizational Skills: Excellent organizational and multitasking abilities, with a keen attention to detail.
- Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with residents, vendors, and team members.
- Problem-Solving: Demonstrated problem-solving skills and the ability to handle unexpected issues calmly and efficiently.
- Customer Service: A commitment to providing excellent customer service and enhancing the living experience for our members.
Interview Process: - Your application will be reviewed for possible next steps by the Hiring Manager.
- If you meet eligibility requirements, the next step would be a video interview with a member of the PeopleOps team for about thirty (30) minutes.
- If warranted, the next step would be a video panel interview with key stakeholders at PadSplit for one (1) hour.
