Job Description:

As a CSR -Maintenance Coordinator, you will audit and manage maintenance calendars, coordinate vendor services, and ensure all tasks are completed efficiently. You'll handle scheduling, communicate with stakeholders, and track performance metrics, ensuring seamless operations for our clients.

Job Overview:
Employment type: Full-Time
Shift: Night Shift, Mon - Fri, 9:00 PM - 6:00 AM, Weekends Off
Work setup: Hybrid, Baguio City
Salary: PHP 25,000 to PHP 28,000

Your Daily Tasks:
  • Perform an initial audit of existing Vantaca recurring calendars for each Association, ensuring all recurring maintenance services are entered as tasks, with the appropriate action type queued for creation.
  • Update and maintain the recurring calendars by adding/removing tasks as needed, and auditing regularly to ensure accuracy.
  • Verify that action items are generated in advance (15-30 days) of service due dates.
  • Coordinate the dispatch of all maintenance services with designated vendors as services become due. Confirm schedule dates and follow up with vendors to ensure all repairs are completed. Occasionally coordinate access with unit owners when required.
  • Communicate with the Board and Community Manager to keep them informed about upcoming services, scheduled dates, and completed repairs.
  • Track and manage global service enrollments, ensuring all services are completed.
  • Track services enrolled with in-house maintenance vs. third-party vendors.
  • Monitor the number of canceled services and the corresponding canceled spend.
  • Escalate attempted cancellations and identify opportunities to switch services to in-house maintenance (if currently enrolled with another vendor) to leadership.

Requirements

The Qualifications We Seek:

  • Must be able to work night shifts with schedule flexibility.
  • Minimum of 2 years of experience as a customer service representative.
  • High fluency in English, essential for this role.
  • Proficiency in technology, particularly web-based software like Google Suite.
  • Excellent organizational skills and ability to multitask effectively.
  • Detail-oriented and capable of working independently.
  • Strong communication skills to maintain open discussions with the team.
