Qualifications:
  • Bachelor's degree in Business Administration or any related field.
Proven experience in documentation control, title transfer processes, or a similar role within the real estate industry.
  • In-depth knowledge of local real estate laws and regulations.
Strong organizational skills with keen attention to detail.
  • Excellent communication and interpersonal skills.
Proficiency in relevant software tools and document management systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
With valid drivers license
  • Knows how to drive 4-wheel vehicles


We are seeking a highly organized and detail-oriented individual to join our team as a Documentation Control Unit (DCU) Specialist. In this role, you will be responsible for managing the seamless facilitation of title transfers in favor of various subdivision buyers and overseeing the processing of consolidation titling for subdivision approval. The ideal candidate will have a strong understanding of real estate documentation, local regulations, and a proven track record in efficiently navigating the title transfer process.

  • Essential Duties and Responsibilities:
  • Title Transfer Facilitation:
Coordinate and manage the title transfer process for subdivision buyers, ensuring all required documentation is accurately completed and submitted.
  • Facilitates documents for title transfer such as Deed of Absolute Sale (DOS), Contract to Sell (CTS), Affidavit of Request, Segregation Agreement, and other related documents by Landowners.
Ensures that Title Transfer/consolidation and subdivision titling set schedules are met
  • Facilitates notarization of various legal documents.
Ensures that all permits and compliance are in place and up to date.
  • Ensures complete review and validation of documentary requirements
Responsible for the processing of title transfer with government agencies as follows: a. Bureau of Internal Revenue (BIR) payment of applicable taxes; secures Certificate Authorizing Registration; b. Register of Deeds (RD) Registration of sale with the Registry of Deeds for issuance of new title transfer.
  • Collaborate with internal stakeholders, such as legal and finance teams, to validate and authenticate title transfer documents.
  • Consolidation Titling Process:
Oversee the processing of consolidation titling for subdivision approval, ensuring compliance with local regulations and company policies.
  • Treasurer's Office -payment of transfer tax
Assessor's Office Secure documentary requirements for the title transfer and facilitate the transfer of Tax Declaration in the name of the buyer. Also it facilitates the issuance of individual tax declarations for the consolidated/subdivided lots. Attend/Assists during site inspections.
  • Conduct thorough reviews of documentation related to consolidation titling, addressing any discrepancies or issues promptly.
  • Documentation Management:
Maintain an organized and efficient system for managing all documentation related to title transfers and consolidation titling.
  • Proactively solve conflicts and address issues that could occur between the business and the other entity.
Facilitates the payment for yearly real property taxes of the company. Update/monitor the report
  • Work closely with relevant departments to gather and update required documents, keeping accurate records throughout the entire process.
  • Regulatory Compliance:
Liaise with various government or local authorities (HLURB, DENR, LGU, RD, CITY HALL, DAR etc)
  • Communication and Coordination:
Effectively communicate with internal teams, external agencies, and clients to facilitate the timely completion of title transfers and consolidation titling.
  • Act as a liaison between different stakeholders to resolve any issues that may arise during the documentation process.
  • Quality Assurance:
Implement quality control measures to ensure the accuracy and completeness of all documentation submitted for title transfers and consolidation titling.
  • Conduct periodic audits to identify and rectify any discrepancies or potential issues.
