Job Overview:
We are seeking a detail-oriented and organized Leasing Assistant to support our leasing and property management operations. The Leasing Assistant will play a critical role in facilitating the leasing process from start to finish, ensuring compliance with housing regulations, and maintaining effective communication with tenants and Section 8 case managers. This role requires a proactive approach, excellent time management skills, and a commitment to delivering high-quality customer service.
Key Responsibilities:
- Leasing Process Management: Complete HACLA/Section 8 Request for Tenancy Approval (RFTA) packets, meticulously follow up with case managers on inspection dates, rental offers, and Housing Assistance Payment (HAP) contracts until completion
- Tenant Communication: Serve as the primary contact for tenants, updating them on the status of their leasing process and responding to inquiries promptly
- Calendar Management: Manage the calendar for Section 8 inspections, tenant move-ins, and other significant events, ensuring smooth operations and timely actions
- Application Processing: Utilize Appfolio for processing applications, conducting employment and tenancy verifications, and ensuring a seamless review process
- Lease Preparation: Prepare leases, facilitate the review and approval process, and use Docusign for electronic signatures, ensuring all documents are executed efficiently
- Move-in Assistance: Support the move-in process in Appfolio, ensuring tenants have a smooth transition to their new home
- Application Tracking: Maintain daily updates to leasing agents application logs via Google Sheets, providing transparent tracking of application statuses
- Move-out Management: Ensure all move-outs are accompanied by a signed 30-day notice and proactively manage the signing process
- Communication Coordination: Screen calls, forward calls/voicemails to appropriate team members, including leasing agents and the internal team, ensuring efficient communication flow
- Low-Income Housing Paperwork: Assist with the preparation and management of low-income housing paperwork, ensuring accuracy and compliance with regulations
- Filing and Record Keeping: Maintain organized files and records relevant to the leasing process, ensuring easy access and compliance
Requirements
- Experience with Section 8 and low-income housing programs strongly preferred
- Proficiency in Appfolio property management software and Google Sheets
- Strong organizational skills and the ability to manage multiple tasks simultaneously
- Excellent communication skills, both written and verbal
- Detail-oriented with a strong focus on accuracy and compliance
- Experience in a leasing or property management role is desirable
- Familiarity with Docusign or similar electronic signature platforms
- Ready to be on video chat during work hours for communication and supervision purposes
