Job Description

Job Summary: We are seeking a Japanese/English bilingual assistant with a strong background in Microsoft Office to join our team. The successful candidate will provide administrative support, facilitate communication between Japanese and English-speaking stakeholders, and ensure efficient office operations. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
  • Key Responsibilities:
Administrative Support:
  • Manage calendars, schedule meetings, and arrange appointments.
Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain filing systems, both electronic and physical.
Bilingual Communication:
  • Serve as a liaison between Japanese and English-speaking clients, partners, and team members.
Translate documents and communications as needed.
  • Facilitate interpretation during meetings and conferences.
Office Management:
  • Order and maintain office supplies and equipment.
Coordinate travel arrangements and itineraries.
  • Assist in organizing company events and activities.
Microsoft Office Expertise:
  • Create and manage spreadsheets, databases, and reports using Excel.
Design and format documents and presentations in Word and PowerPoint.
  • Utilize Outlook for email management, scheduling, and task organization.
Additional Duties:
  • Conduct research and compile data as requested.
Support special projects and initiatives as assigned.
  • Provide general administrative assistance to various departments.
  • Qualifications:
Language Proficiency: N1-N2 level/ Fluent in both Japanese and English, with excellent written and verbal communication skills. Advantage if can speak Mandarin as well.
Education: High school diploma or equivalent; a college degree is preferred.Experience: Previous experience as an administrative assistant or in a similar role is required.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Organizational Skills: Strong attention to detail, with the ability to prioritize and manage multiple tasks effectively.
Interpersonal Skills: Excellent interpersonal and customer service skills, with the ability to work collaboratively in a multicultural environment.
