Job Description
The Intake Coordinator is the employee that interacts and works closely with many other employees. This person also interacts with the clinical sales specialists, management team leaders, physicians, nurses and office staff, case managers, and pharmacist. This employee also works closely with all drug manufacturers and the patient /patient family. This position is at the corporate office. The Intake Coordinator provides coordination of care for all incoming patients, under the direction of the Pharmacy Supervisor / Intake Team Lead. The Intake Coordinator contributes greatly to the overall satisfaction of our customers, vendors and Business associates.
Essential Job Responsibilities
Receipt of referrals from Pharmacist after review for assigned territory including
Insurance information, Statement of Medical Necessity, Prescription, and pertinent
clinical documentation necessary for authorization process.
Assists with obtaining necessary information for processing under the direction of the
dispensing pharmacist.
Utilizes Docutrack system for tracking and to monitor appropriate designation of
information received.
Enters patient information into Premier View for all designated territorial new starts
received.
Assists with incoming referrals for other territories as necessary.
Enters territorial requests for follow up assistance on the Request log as appropriate.
Consults with clinical staff regarding clinical review as appropriate. Contacts physician's
offices as directed. Requests prescriptions as needed to process referral.
Closely monitors formulary status of all incoming referrals and assists with follow up
initially as insurance plan dictates.
Assists with monitoring of new start referrals for patterns and trends as it relates to
completeness of referral and insurance/formulary coverage.
If delay at or beyond 72 hours occurs with an incoming new referral, Intake Coordinator
contacts family and informs them of status.
Upon completion of data entry, forwards information to the appropriate case manager for
processing.
Consistently updates notes in the system and on the logs to reflect the current patient
status.
If PKC is unable to service based on current coverage or contracting limitations, Intake
Coordinator will make the file inactive and notify all appropriate parties of the status.
Works closely with the Sales / Clinical staff, and Case Managers to communicate
status of referrals.
Makes initial contact with DME patients.
Requirements
Performs other related duties as required and assigned.
Strong Verbal And Written Communication Skills Are Required.
Must be knowledgeable in basic office operations and be able to perform multiple tasks
simultaneously.
Must be able to work under pressure, delineate priorities when workload is abundant.
Must be able to represent the company in a professional manner.
Must maintain HIPAA (Health Insurance Portability and Accountability
Act) compliance in accordance with the provisions outlined in the
company's Employee Manual and HIPAA manual and understand their obligations under
the Privacy Rule.
Able to perform the essential duties of this position without posing a direct threat to the
health or safety of self or others.
