JOB TITLE : HR ADMINISTRATIVE ASSISTANT- DEPARTMENT : HUMAN RESOURCES
- REPORTS TO : HR ADMIN MANAGER
The HR Administrative Assistant plays a pivotal role in supporting our HR department's day-to-day operations and contributing to the long-term development of our HR practices. The ideal candidate will be responsible for a wide range of tasks, including but not limited to onboarding, vehicle schedule coordination, storage management, overseeing compensation and benefits, and assisting in various HR-related activities to ensure smooth and efficient operations. This position requires an organized, detail-oriented individual who can manage multiple tasks simultaneously and maintain confidentiality.
- ONBOARDING AND OFFBOARDING:
Facilitate the onboarding process for new hires, ensuring a smooth transition into the company.
- Assist in the offboarding process for exiting employees, including finalizing paperwork and conducting exit interviews.
- VEHICLE AND EQUIPMENT MANAGEMENT:
Schedule and monitor company vehicle usage and maintenance.
- Manage requisitions for supplies, personal protective equipment (PPE), and tools, ensuring adequate stock levels.
- COMPENSATION, BENEFITS, AND MONITORING:
Assist in managing compensation and benefits packages, including field work and monitoring.
- Monitor and manage loans from SSS and Pag-IBIG.
- HR SUPPORT AND EMPLOYEE RELATIONS:
Support in scheduling interviews for rank and file positions.
- Handle employee relations issues such as tardiness and absences, promoting a positive work environment.
Assist in employee engagement initiatives and manage employee accountability.
Maintain HR database management and employee files (201 File Management).- Assist in the requisition of supplies and the management of inventory and manpower schedules.
Support timekeeping and attendance monitoring.
- HEALTH, SAFETY, AND COMPLIANCE:
Assist in ensuring compliance with occupational safety and health (OSH) standards and other regulatory requirements.
- Coordinate efforts between operations and sales teams to ensure compliance and efficiency.
- LEARNING AND DEVELOPMENT:
Support the Learning & Development team in organizing training sessions and development programs.
- Assist in organizational development initiatives and employee retention strategies.
Support the performance management process, including assisting in monitoring and evaluating employee performance.
Bachelor's degree in Human Resources, Psychology, Business Administration, or related field.
- Proven experience as an HR assistant, staff assistant, or relevant human resources/administrative position.
Familiarity with HR functions and best practices.- Excellent organizational skills, with an ability to prioritize important projects.
Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office and HRIS systems.
Knowledge of labor laws and regulatory compliance is a plus.
High level of discretion and confidentiality.- Proactive, self-motivated, and able to work independently and as part of a team.
Detail-oriented with strong analytical and problem-solving skills.
- Nice, polite, but firm in dealings with all levels of the organization.
