Main Duties and Responsibilities Documentation and Implementation of the Administration Department processes and guidelines.
Organize and maintain file and records routing mail and requesting supplies in the office.
Prepares itineraries, agendas, and expense reports.
Create meeting agendas, notifications, and follow up items.
Coordinates and schedules events, conferences, meetings, travel, conference rooms, luncheons, etc.
Makes high level contacts of a sensitive nature internally and externally.
Planning and scheduling projects and ensuring timely completion.
Maintain the security of confidential information.
Maintaining business/customer contact database, corporate files and
business plans.
Composing, designing and editing correspondence and reports.
Producing complex and professional looking PowerPoint presentations.
Interacting with customers, senior-level executives, and all other levels of employees
Prepare correspondence; communicate extensively utilizing a variety of technology including telephone, electronic mail and chat.
Manage and maintain Executive schedules (update and synchronize calendar)
Manages multiple projects simultaneously and follow through on issues in a timely manner
Manage 5S initiative. Manage maintenance crew ensuring that office is clean and organized.
Procurement, communication and coordination with vendors.
Responsible for overseeing facilities, procurement, inventory control.
Ensure operations run smoothly within departments such as information and data processing, mail, materials scheduling and distribution, printing and reproduction, records management, telecommunications management, security, recycling, and wellness
Ensure contracts, insurance requirements, and government regulations and safety standards are followed properly.
Examine energy consumption patterns, technology usage, and personal property needs.
Plan long and short-term maintenance needs.
Modernize and update equipment.
Oversee the preparation, analysis, negotiation, and review of contracts related to the purchase or sale of equipment, materials, supplies, products, or services.
Handle the acquisition, distribution, and storage of equipment and supplies.
Develop energy efficiency procedures.
Develop emergency preparedness procedures.
Plan work spaces.
Monitor facilities for security.
Answer directives from directors of administration.
Any other tasks that may be assigned by CEO/MD.
