Job Overview:
The HR Administration and Crewing Assistant is responsible for providing comprehensive HR, crewing, and general administrative support to the regional HR/Crewing team in Australia. This role ensures that all administrative tasks related to crewing and human resources are completed accurately and promptly, supporting project and compliance requirements in line with company policies and procedures.
Key Responsibilities:
Assist the Crewing Coordinator with documentation and administrative support.
Issue project and marine contracts.
Process expense claims and prepare the monthly accounting report for Skandi Hawk timesheets.
Update and monitor the crew schedules for assigned vessels.
Approve invoices promptly.
Create profiles for travelers and new starters (Project and Marine employees).
Support mobilization/demobilization administration, including contract and competency management.
Maintain and update employee documentation in compliance with GDPR, client, and company policies.
Arrange necessary medical appointments and ensure staff training requirements are met.
Manage and maintain employee personnel files and certification data in the HR system.
Assist with recruitment activities and HR document management.
Qualifications & Experience:
Bachelor's degree in HR Development Management or related field.
At least 3 years of experience in the maritime industry, specifically in the energy, or oil and gas sector.
Strong communication, critical thinking, multitasking, and organizational skills.
Timely and accurate completion of crewing and HR tasks.
Proactive management and up-to-date maintenance of employee documentation.
Professional and courteous handling of personnel inquiries.
Experience in using MS Outlook, MS Teams, SharePoint, U4BW HR System.
Excellent written and verbal English communication skills.
Must be willing to report onsite in Arcovia, Brgy. Ugong, Pasig City, on a project-based employment for 6 months.
