Job Description

As the Head of Events, you will play a crucial role in planning, organizing, and executing our client's events to showcase our products and services. This is an exciting opportunity to lead and create unforgettable experiences that will leave a lasting impression on our clients and brands.
  • JOB RESPONSIBILITIES:
  • TEAM MANAGEMENT
Mentors and guides fellow business unit members in ensuring that all job responsibilities are met
  • Regularly monitors and evaluates the performance of business development team members
Evaluates opportunities to grow the business within existing accounts
  • Seeks opportunities to introduce the company portfolio and its complete list of services
Monitors team's timely submission and accurate liquidation of expenses as prescribed by the company guidelines
  • Ensures that the Company Core Values are followed through constant example
  • CLIENT SERVICING
Maintains professional relationship with all clients
  • Coordinates with Clients for New and On-Going Projects
Ensures delivery of revenue and profit targets for assigned clients
  • Serves as a constant liaison between the client and relevant personnel within AAI
  • PROJECT MANAGEMENT
JO Preparation: Attends project brief meetings, provides and collects value-adding and strategic inputs to further enhance the project brief
  • JO Cascade: Briefs concerned personnel on the details and requirements of the Client's instructions and advice within proper timeline and ensures that they are clearly understood
CE Preparation: Prepares Project Cost Estimates and secures Approval from clients
DO / PO Preparation: Secures proper approvals and documentation such as Service Contracts, Terms of Service Documents, MOAs, Signed Cost Estimates and DOs/ POs required for the project to begin implementationProject Planning: Ensures that all requirements to accomplish assigned projects are efficiently and effectively planned and implemented
  • Client Master Checklist Preparation: Completes a comprehensive list of tasks to be accomplished by the team
Project Execution: Ensures that activation guidelines and client-agreed instructions, standards, processes, and schemes are followed and met at all times by coordinating with concerned personnel
Project Reporting: Ensures that all projects reports sent to the client are complete, comprehensive, insightful, accurate, and submitted within the deadlinesCollection: Consistently monitors and follows up with project proponents on collections based on agreed client financial terms
  • OPERATIONAL
Oversees controls and monitors project implementation based on the approved Operational guidelines and in accordance with proper schemes/processes stated in the Client's advice.
  • Monitors and ensures timely submission and accuracy of post-mortem reports
Meets with clients for operational concerns when needed.
  • Plans and evaluates project requirements and prepares Project Operational Brief
Coordinates with the Business Manager (BM) and Operations Manager (OM) regarding project particulars i.e. manpower, adequacy of stock materials, premium items, funds and other logistical support required for the assigned project.
  • Attends all requests and enables access to all art work stations, providing the necessary files needed by the Business Development Department.
Conducts regular visits to project sites and workplace to ensure the efficient execution of ongoing projects.
  • Prepares a progress report for submission to the Operations Head, that summarizes the performance results of each on-going project showing in particular the following:
Actual performance versus target
  • Suggestions, learning and recommendations for improvements
Project Management and Planning particularly in the following:
  • Leads in the crafting of the Execution Plan for project bids and final implementation
Guides the team for proper negotiation of venues and conducting ocular inspections during initial project planning and if necessary, for project bids
  • Counter checks Operational / On Ground Checklist
Spearheads internal report preparation to be sent to the business development department
  • ADMINISTRATIVE
Monitor and secures POs/DOs before implementation or within one-week after project start or implementation (depending on client business practices)
  • Strictly observes internal policies and guidelines in the performance of all duties
Documents and files all relevant information including minutes of meetings and post-evaluation report of projects
  • Sets and formulates annual objectives for their accounts based on the key results areas
Ensures the proper and strict implementation of the administrative, accounting and personnel policies of the Company.
  • Develop external relations with third-party suppliers, Local Government Unit (LGUs), and other stakeholders
  • ATTENDANCE
Attends all project meetings on time; advises ahead of time for any conflicts in schedule
  • Follows Attendance documentation guidelines and policies, Shows Eagerness and professionalism by going to work on time
  • QUALIFICATIONS:
Bachelor's degree or equivalent experience
  • 3 - 4 years prior industry related business development experience
Strong communication and interpersonal skills
  • Must be client oriented.
Must be people oriented.
  • Proven knowledge and execution of successful development strategies
Focused and goal oriented.
  • Team player
Must have knowledge/experience in Operations.
  • Must have knowledge/experience on Events
