Job Description

The General Office Administrator is a central role tailored for a highly organized and versatile individual who will perform a wide range of administrative duties to support both site and general office operations. This position requires an adaptable, proactive approach, exceptional communication skills, analytical and decision-making savvy, and the ability to handle confidential information with discretion.
  • Responsibilities:
Document Control: Serve as the primary document controller by ensuring that all documents, files, and contracts are filed and safely kept. Edit, prepare, and manage contracts and other critical documents to support business operations and legal compliance.
  • Petty Cash Management: Manage, record, and ensure the safekeeping of daily petty cash transactions. Prepare reports detailing petty cash usage and maintain meticulous records for accounting and auditing purposes.
Procurement and Purchasing: Handle minor procurement tasks, including sourcing office and site supplies and negotiating with suppliers to ensure cost-effective purchasing decisions.
Logistics Coordination: Monitor and schedule vehicle itineraries, ensuring logistical operations align with company needs. Coordinate with vendors and internal teams to guarantee timely and accurate delivery of goods and services.Office Maintenance: Maintain and ensure the overall cleanliness and upkeep of the office environment. Coordinate with cleaning, maintenance, and repair services to ensure a professional and well-organized workspace.
  • General Administrative Duties: Serve as the primary point of contact for employees and clients on all matters pertaining to office matters. Manage and maintain executive schedules, appointments, and arrange and coordinate meetings and events. Handle confidential documents ensuring they remain secure.
Communication and Liaison: Communicate with internal staff at all levels and manage incoming communications. Receive and interact with incoming visitors, providing a professional and friendly point of contact.
  • Qualifications:
Proven experience as an executive assistant, administrative assistant, or in other secretarial positions.
  • Full comprehension of office management systems and procedures.
Excellent knowledge of MS Office, and office management software
  • Strong skills in managing finances, documents, spreadsheets, and databases.
Ability to uphold a strict level of confidentiality.
  • Exceptional interpersonal and communication skills.
A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.

This role is suited for a candidate who is eager to embrace responsibilities and capable of efficiently managing multiple tasks in a fast-paced environment. The General Office Administrator plays a crucial role in ensuring that both the executive functions and general office operations are conducted effectively, contributing significantly to the success of the organization.

Job Type: Full-time

Schedule:
  • 8 hour shift
Day shift
Supplemental pay types:
  • 13th month salary
Overtime pay
  • Yearly bonus


Ability to commute/relocate:
  • Cainta, Rizal: Reliably commute or planning to relocate before starting work (Preferred)

Experience:
  • Administrative, Office or Executive Assistant: 1 year (Preferred)
