Job DescriptionThe Front Office Receptionist is responsible for providing a friendly, welcoming and efficient service to all hotel guests, in line with the hotel's vision and values on customer satisfaction. The main purpose of the hotel front office staff are to respond courteously to guests requests, play a part in the general running of the reception desk and help the Front Office Supervisor to maintain smooth room bookings service.
To undertake front office duties, including meeting, greeting and attending to the needs of guests to ensure a superb customer service experience including but not limited to :-
- talking to transport carriers (such as airlines, bus companies and rental car agencies) to make and confirm travel arrangements for guests
Taking guests details and allocate their rooms.- Informing guests of the hotel's services and facilities, policies and procedures
Providing tourist information to guests
- Making reservations for sightseeing tours, restaurants, the cinema, live entertainment, etc.
Arranging accommodation for guests travelling to other destinations- Coordinating the cleaning of guests personal laundry, shoe shining and room service deliveries
Following in-house procedures to help ensure the security of guests and employees
- Dealing with bookings by phone, e-mail, letter, fax or face-to-face.
To build a good rapport with all guests and resolve any complaints/issues in an effective and courteous manner, providing or seeking solutions as quickly as possible to maintain high quality customer service.- To be responsible for accurate and efficient accounts and guest billing processes.
To assist in keeping the hotel reception area clean and tidy at all times.
- To keep up to date with room prices and special offers to provide accurate information to guests.
To report any maintenance, breakage or cleanliness problems to the relevant manager.- To undertake all training as required (e.g., first aid, health and safety, customer service).
To adhere to all fire safety test procedures and to assist in the evacuation process in the event of fire.
- Control inventory relevant to reception area;
Receive and sort mail and deliveries and prepare needed reports.
