Position Overview:Philippine Chiropractic Healthcare Specialist seeking a friendly, organized, and professional Receptionist/Front Desk Associate to join our team. As the first point of contact for our patients, you will play a crucial role in creating a welcoming and efficient environment. Your primary responsibilities will include managing the front desk operations, greeting patients, scheduling appointments, and handling administrative tasks.
Greet and Welcome Patients: Warmly greet patients as they arrive at the clinic, ensuring they feel comfortable and valued. Provide assistance with check-in procedures and answer any initial questions.
- Manage Appointments: Schedule, reschedule, and confirm patient appointments using the clinic's scheduling software. Ensure the appointment calendar is accurately maintained and optimized for efficiency.
Handle Phone Calls:
Answer incoming phone calls promptly and courteously. Assist callers with inquiries, provide information about clinic services, and direct calls to the appropriate staff members.Patient Registration:
Assist new patients with registration forms and ensure all necessary information is collected and accurately entered into the system. Verify and update existing patient records as needed.Process Payments: Collect and process payments for services rendered, including co-pays and balances. Provide receipts and maintain accurate financial records.
- Administrative Support: Perform various administrative tasks such as filing, scanning, and organizing patient records. Assist with correspondence, data entry, and other clerical duties as needed.
Maintain Cleanliness:
Ensure the reception area is clean, organized, and presentable at all times. Restock brochures, forms, and other materials as necessary.Coordinate Communication:
Relay messages and information between patients, doctors, and other clinic staff. Ensure effective and timely communication to support clinic operations.Manage Supplies: Monitor and order office supplies as needed. Ensure that front desk materials are adequately stocked and readily available.
College Level or College Graduate: Required.
- Previous Experience: Prior experience in a receptionist or front desk role, preferably in a healthcare setting, is highly desirable.
Customer Service Skills:
Strong interpersonal and communication skills, with a focus on providing excellent customer service.Computer Proficiency:
Familiarity with office software, including word processing, email, and scheduling software.Organizational Skills: Exceptional organizational skills with the ability to multitask and manage time effectively.
