This position requires a combination of administrative expertise, logistical coordination skills, and a strong understanding of fleet operations.
Oversee the maintenance, operation, and scheduling of the organization's fleet of vehicles.
- Coordinate vehicle inspections, repairs, and servicing to ensure compliance with safety regulations and optimal performance.
Manage fueling, mileage tracking, and vehicle assignments to maximize efficiency and minimize downtime.- Develop and implement policies and procedures for fleet management, including safety protocols and vehicle utilization guidelines
Provide comprehensive administrative support to various departments within the organization.
- Manage office supplies, equipment, and facilities to ensure a well-maintained and efficient work environment.
Handle correspondence, phone calls, and inquiries, directing them to the appropriate personnel as needed.- Assist in the preparation and distribution of reports, presentations, and other documentation.
Organize meetings, appointments, and travel arrangements for executives and staff members.
- Maintain accurate records and documentation related to fleet operations, including vehicle maintenance logs, fuel consumption reports, and regulatory compliance records.
Ensure all administrative records, such as contracts, invoices, and personnel files, are properly filed and organized for easy retrieval.- Assist in the preparation of budgets, expense reports, and financial statements related to fleet operations and administrative expenses.
Serve as a liaison between various departments, external vendors, and service providers to facilitate effective communication and collaboration.
- Communicate updates, changes, and important information related to fleet operations and administrative matters to relevant stakeholders.
Coordinate with procurement teams to purchase necessary supplies, equipment, and services in accordance with organizational policies and budgetary constraints.
Bachelor's degree in Business Administration, Logistics, or a related field preferred.- Proven experience in fleet management, administrative support, or a similar role.
Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, vendors, and clients.
Proficiency in Microsoft Office Suite and other relevant software applications.- Knowledge of relevant regulations and compliance standards related to fleet operations is desirable.
Detail-oriented and proactive approach to problem-solving.
- Valid driver's license and clean driving record may be required, depending on the nature of fleet management responsibilities.
