The Fixed Asset Inventory Accountant/Assistant is responsible for supporting the Fixed Asset Manager in maintaining accurate records of the hospital's fixed assets. This role involves assisting with asset tracking, conducting physical inventories, and ensuring compliance with established policies and procedures. The Fixed Asset Inventory Accountant/Assistant reports directly to the Fixed Asset Supervisor and plays a key role in the efficient management of the hospital's fixed assets.
- DUTIES AND RESPONSIBILITIES:
_Asset Tracking and Verification_
- Assist in tracking the acquisition, transfer, and disposal of fixed assets.
Conduct regular physical inventories to verify the existence and condition of assets.- Update the fixed asset register with accurate and current information.
_Documentation and Record Keeping_- Maintain organized and up-to-date documentation for all fixed assets.
Prepare and maintain asset tags, labels, and identification records.
- Ensure that all supporting documents for fixed asset transactions are complete and filed appropriately.
_Data Entry and System Updates_
- Input fixed asset data into the accounting and asset management systems.
Update the fixed asset database with new acquisitions and disposals.- Collaborate with the Fixed Asset Manager to reconcile discrepancies and ensure data accuracy.
_Reporting_- Generate and distribute reports on fixed asset activities as required.
Assist in preparing reports for internal and external audits.
- Provide support to the Fixed Asset Manager in analyzing fixed asset data.
_Compliance_
- Ensure compliance with accounting policies and procedures related to fixed assets.
Assist in implementing and enforcing internal controls for fixed asset management.- Collaborate with the Fixed Asset Manager to address any compliance issues or discrepancies.
_Assist in Audits_- Support the Fixed Asset Manager during internal and external audits.
Retrieve and provide necessary documentation for audit purposes.
- Assist auditors in verifying the accuracy of fixed asset records.
_Collaboration_
- Work closely with other departments, including finance, procurement, and facilities.
Collaborate with vendors and external partners as needed.- Communicate effectively with colleagues to resolve any fixed asset-related issues.

Assist in other tasks that management may assign to him/her.
Bachelor's degree in Accounting, Finance, or a related field is preferred.
- Previous experience in fixed asset management or a related field is advantageous.
Strong attention to detail and accuracy in data entry.- Proficiency in accounting software and Microsoft Office Suite.
